The American Heart Association (AHA) has an excellent opportunity for an Editorial Assistant in our Waltham, MA office ( remote/home based is acceptable

This is a part-time position and we are looking for someone approx. 20 hours per week.

The Editorial Assistant works with members of the Scientific Publishing department on day-to-day operations by providing administrative support to all publishing partners.

Areas of Responsibility: 
  • Handles project timelines and deadline compliance, while effectively communicating project statuses and related information as required.
  • Assists in all aspects of the publication process to include: responding to author queries, requesting and collecting author paperwork, obtaining new or following up on permissions and copyright transfer agreements, corresponding with authors on page proofs and other manuscript details, logging in manuscripts, and so on.
  • Provides excellent customer service to internal/external customers and volunteers.
  • Develops and maintains a working knowledge of the department budget.
  • Collaborates effectively with other OSO and AHA departments to meet goals.
  • Utilizes vendor and/or AHA systems (e.g. E1, COI, Seibel, etc.) to complete duties and projects.
Educational Background: 
Bachelor’s Degree in English, Creative Writing, Journalism, related area or equivalent work experience.
Skills/Experience: 
  • Minimum of six (6) months previous related work experience.
  • Excellent written and oral communication skills.
  • Experience with Microsoft Office and Adobe Acrobat.
  • Project management knowledge.
  • Ability to work independently while handling multiple projects and deadlines.
  • Highly organized with good attention to detail.
