This position provides high-level, executive administrative support to the Chief Strategy Impact & Services Officer helping the VisionFund International (VFI) Strategy, Impact & Services (SIS) Team to operate efficiently and effectively in leading the VFI’s humanitarian ministry in partnership with a wide group of diverse stakeholders, both internally and externally.
Areas of Responsibility:
- Serving as a point of contact for the office of the Chief Strategy Impact & Services Officer, handling matters, relationships and communications in a confidential and professional manner.
- Support the operations of the office of Strategy, Impact & Services by performing diverse administrative tasks including but not limited to:
Meeting Management:
- Assist with overall coordination of meetings on behalf of SIS (eg. SIS Team meetings, Kaizen Workshops, with Regional leadership etc.)
- Assist SIS Directors with preparing agendas for various F2F & virtual meetings.
- Global logistical planning (Procurement of venue, coordinating meals, securing guest rooms & transportation, etc).
- Attend & support virtual SIS meetings to facilitate agendas, prepare meeting notes and action plans.
General Administrative Duties:
- Provide support to SIS Team as may be needed (preparation of expense reports & calendar support).
- Prepare, format, and aggregate Board, SLT, and OpCo pre-reads and presentations from SIS team members for CSISO.
- Process purchase requests/ purchase orders via internal systems.
- Creating/ maintaining team organizational charts.
- Special projects as assigned.
- Timekeeper.
- Tracking various employees vacation/ sick balance.
- Maintain filing system of bi-weekly timesheets.
- Prepare reports for payroll as requested.
- Work with VFI admins to create a strong team to support VFI.
Travel Management:
- Assist with travel logistics, including transportation, lodging, itineraries, visas, passports etc. for Chief SIS Officer and SIS Global Directors.
Educational Background:
Bachelor’s degree in business or related field, or equivalent related work experience of 2-5 years.
Skills/Experience:
- Strong track record of executive-level administrative work experience including in contexts with frequent modifications in scheduling and diary management, travel arrangements, meeting preparation etc.
- Proficient with computer and Microsoft Office applications.
- Well developed and mature interpersonal skills.
- Exceptional organizational and planning skills. Attention to detail, adaptability and good judgment and decision-making ability
- Good written and verbal communication skills.
- High level of proficiency in a range of current information management platforms/applications (e.g., calendar, mailbox, inter/intranet, spreadsheet and document management).
- Effective written and verbal communication in English.
Preferred Skills, Knowledge and Experience:
- Experience working collaboratively within a team, as well as the ability to work with minimal supervision.
- Track record in working with staff from diverse personal styles, cultures and geographic locations across time zones.
- Able to work virtually and independently with limited direction for much on the working week, using independent judgment and discretion.
- Multi-tasker who stays flexible in a fluctuating and sometimes intense work environment.
- Experience in international, humanitarian or development settings and/or in complex international organisations strongly preferred.
- Experience in a World Vision office and familiarity with World Vision’s global ministries, systems and processes preferred.
Work Environment/Travel:
- The position could be managed working from a home or office location, preferably in the US/ PT or a similar timezone.
- The position may require support across different timezones and so may require flexible working hours.
