Executive Assistant, HR

We are seeking an experienced Executive Assistant, HR to work in a fast-paced environment in our St. Louis, MO office. The Executive Assistant will provide administrative support to the Senior Vice President of Human Resources and the Human Resources Department in a way that allows the department to function efficiently and effectively by applying strong organizational skills. The Executive Assistant is to serve as a catalyst to all HR-sponsored programs and activities so that exceptional customer service is rendered to all regional staff.

Areas of Responsibility: 
  • Provides direct assistance to the Senior Vice President of Human resources by maintaining Outlook Calendar, making travel arrangements, completing research assignments, and creating detailed and creative reports.
  • Acts as a liaison to the HRdepartmentby scheduling HR interviews, administering online pre-employment assessments and background checks, maintaining accurate candidate files, generating template training plans, training reports, ordering business cards.
  • Maintains current and accurate staff and department reports, including charts of organization, weekly e-newsletter, training, compliance, etc.
  • Ensures the success of HR programs and initiatives by coordinating and scheduling meetings, developing registration processes, preparing and distributing pre-event packets, ordering food and supplies/materials, coordinating travel and lodging, and follow up correspondence.
  • Provides exceptional customer service by developing and maintaining an understanding of department initiatives.
  • Keeps current with department budget numbers, and Association accounting practices and processes to process HR invoices in a timely manner.
  • Assists in maintaining current data on the HR SharePoint site current.
Educational Background: 
High School Diploma or equivalent required.
Skills/Experience: 
  • Must have intermediate knowledge and skill with Microsoft Office 2010 or higher used for word processing, email, presentations, and spreadsheets. Advanced knowledge and skill with these programs is preferred. These skills are subject to testing.
  • Must be at least 18 years old.
  • SharePoint and HR database experience preferred.
  • Strong organizational skills.
  • Ability to manage multiple projects simultaneously.
  • Strong oral and written communication skills.
  • Strong work ethic with high level of integrity.
  • Ability to work in a team environment and interact with all levels of staff.
  • Ability to initiate and nurture relationships with internal and external constituents.

  • Attention to detail and effective time management skills.
