This Senior Program Coordinator (SPC) position sits within the Strategy and Innovation team on Vaccine Delivery and will support the Routine Immunization (RI) Strengthening body of work. This is a joint effort by the Vaccine Delivery, Polio, Africa, and Security teams to address RI at a sub-national level in the polio endemic countries of Pakistan and Afghanistan as well as 8 polio high-risk geographies in Africa and the Middle East. This work has two key goals: in the short term, accelerate progress in stopping polio in Pakistan and Afghanistan by the end of 2019; in the long term, prevent new polio-virus outbreaks in the highest risk sub-national areas of Africa and the Middle East.

In addition to investment support for Vaccine Delivery, the SPC is responsible for overall portfolio management, financial analysis and reporting, project management, programmatic analytical support, and supporting sub-team health and culture across the RI Strengthening body of work.  The SPC plays a key role in developing sub-team processes and leading change management, including roll-out of new internal processes. This role is responsible for high quality interactions and clear and consistent communications internally across multiple teams within the foundation and externally with grantees and partners.

Areas of Responsibility: 
  • Project Management & Coordination:  In partnership with the Senior Program Officer (SPO) establish and manage a coordination unit for the RI Strengthening body of work, including creating, maintaining and monitoring projects plans and schedules; establishing cross-team knowledge management and communication processes; and conceptualizing and organizing learning and coordination opportunities (trips, workshops, meetings, etc.).  Identify areas for process improvement, generate recommendations, and implement solutions. Contribute to the ongoing health and culture of the team.
  • Operational & Analytic Support: Support the lead Senior Program Officer (SPO) in executing on investment making, prioritization, tracking progress against strategy, team culture, monitoring and evaluation, analytics, and other areas as needed.  Align with the SPO’s Program Assistant to create seamless operational and administrative support across the RI Strengthening body of work.
  • Investment Management:  Work with Program Officers (POs), Grantees, and Business Partners to shepherd the development, management, evaluation, review, and close out of grants and contracts related to the RI Strengthening body of work. Serve as expert adviser to Program Officers (POs) and business team on processes and unique investment issues. Engage in significant project management work, requiring deep expertise on topics such as complex Requests for Proposals (RFPs), reprogramming large and/or complex grants, budget frameworks, and measurement and evaluation. Serve as liaison across multiple internal teams.
  • Financial and Portfolio Management:  Provide budget oversight and planning, financial analysis, financial reporting, and portfolio and operations process management at the individual investment, Program Officer, and functional team level. Lead initiative-level portfolio management that ties to the broader team portfolio management, supporting the team's financial and strategic decision making. Manage data for all investments in multiple databases to ensure data integrity. 
  • External Engagement: In partnership with Program Officers, act as liaison and key point of contact for external grantees, vendors, and stakeholders. Provide hands on guidance and support for grantees and vendors with budget templates, required documents, and proposal development processes as well as in a broader project management capacity, as needed.
Educational Background: 
Bachelor’s degree preferred with 5-8 years of experience
Skills/Experience: 
  • Excellent organization skills and attention to detail, deadlines and policy compliance
  • Excellent oral and written communication skills
  • Experience with financial analysis and budgeting
  • Strong project management experience and/or research and analytical skills
  • Proficient in MS Office Suite and SharePoint; advanced knowledge of Excel
  • Ability to manage multiple and competing demands with tight deadlines and establish priorities
  • Ability to work independently and as part of an integrated, diverse team with different work and learning styles
  • Is a self-starter who takes the initiative to scope, prioritize, and execute work
  • Acts as change agent within the team, leading cultural and process improvements
  • Exhibits a leadership mindset in completion of daily tasks and contributions in team meetings
  • Has a healthy sense of humor and is comfortable adapting gracefully to rapidly evolving priorities
  • Commitment to fostering a positive and supportive work environment amongst all team members
  • Familiarity with foundation systems and databases preferred
  • Familiarity with programmatic areas of focus (public health, routine immunization, Francophone Africa, Pakistan, Afghanistan)
  • Written and spoken fluency in French preferred
