The Senior Assistant is a key member of the Legal team. This role provides administrative and organizational support for multiple attorneys. Efficiency, attention to detail, flexibility and good judgment are critical to ensure smooth operation of the team.

Areas of Responsibility: 
  • Manage complex calendar scheduling, including meetings with participants in multiple time zones.
  • Coordinate arrangements and logistics for domestic and international travel.
  • Assist with planning, logistics, and materials for events, meetings, conferences, retreats, and presentations.
  • Prepare expense reports and reconcile invoices.
  • Support records and data management, including but not limited to management of the team SharePoint site, maintaining an organized filing system etc.
  • Communicate clearly and interact professionally with parties internal and external to the foundation (clients, partners, grantees, government officials, consultants, vendors, etc.).
  • Work on division specific special projects as needed.
  • Maintain an organized system of tracking, monitoring, and prioritizing tasks and projects.
Educational Background: 
Bachelor’s Degree with 3+ years of experience, or equivalent experience.
Skills/Experience: 
  • Excellent oral and written communication skills.
  • Adaptability; ability to adjust to a variety of working styles.
  • Proficient with MS Office Suite (Word, PowerPoint, Outlook, Excel); SharePoint a plus.
  • Adept at setting priorities, meeting deadlines, and balancing the needs of multiple individuals.
  • Experience with calendaring, travel arrangements, and event/meeting planning coordination.
  • Good judgment, maturity, discretion, tact, and a sense of humor.
  • Positive, collaborative approach to work; strong service orientation.
  • Excellent organizational skills.
  • Comfortable working in a complex, fast-paced organization.
