NRDC seeks a Development Assistant to work in its San Francisco office. The Development Assistant’s main responsibilities include providing support for NRDC’s San Francisco Foundations and Special Projects staff (total of 4), assisting in planning events, preparing donor briefings, maintaining donor files and databases, handling requests from members, and helping to finalize Foundation materials.

NRDC’s Northern California Development department manages major gifts, a west coast foundation portfolio, special events, the SF Council (young professionals volunteer group), and supports NRDC national initiatives by helping with NRDC membership inquiries, and special projects as needed.

Areas of Responsibility: 

Administrative (70%):

  • Prepare expense reports and check requests for four (4) SF Development staff members. Maintain paper and electronic filing systems for development materials
  • Manage mailings for foundation and special projects, including periodic mail merges
  • Manage RSVPs and attendance lists for NRDC’s San Francisco Benefit, San Francisco Council events, and other major donor events; Coordinate all mailings including save-the-date, pre-sale, invitation, and acknowledgments
  • Create and maintain an up-to-date mailing spreadsheet for SF events
  • Process and submit contributions to New York for Foundations and Special Projects
  • Track all donations and contributions and other development materials in Salesforce database
  • Assist with vendors relationships including establishing them as a vendor with Accounting including invoicing and payment
  • Help schedule large internal and external staff meetings and attend as appropriate taking meeting minutes
  • Provide additional coverage for receptionist and other program assistants, as needed;

Other (30%):

  • Assist the Deputy Director, Foundation Relations, to facilitate the timely submission of Foundations materials
  • Assist with special projects and foundations donor correspondence as needed
  • Provide support for NRDC executive and senior staff’s development-related trips and activities
  • Support development associate with planning SF Council events
Skills/Experience: 
  • A minimum of one-year full-time experience in a development or administrative support position (event planning, sales, marketing experience a plus);
  • Superior ability to perform undirected work with meticulous attention to accuracy/detail, including excellent proofreading skills;
  • Excellent written and oral communication skills, excellent interpersonal skills, must be comfortable in speaking with NRDC members and donors;
  • Strong organizational skills to prioritize and carry out multiple tasks requiring rapid turnaround and to follow institutional procedures;
  • Knowledge of Microsoft Office Word, Excel, Outlook, Google Suite, DropBox, familiarity with spreadsheets and mail merges required;
  • Ability to maintain composure under stress and to adhere to high standards of confidentiality;
  • Must be able to work during NRDC regional events, which are occasionally on evenings and weekends (overtime compensation may apply);
  • Must have valid driver’s license;
  • Must be able to move boxes of 10 to 20 lbs to help load event materials;
  • Ability to maintain a professional image;
  • Experience in Salesforce database strongly preferred;
  • Interest in environmental issues is a plus.
  • Graphic design experience is a plus.
