Under the supervision of the Director of Annual Giving and Special Events, the Assistant Director is responsible for quality results for all transactional tasks related to database management as well as support for the Annual Campaign including, but not limited, to the planning and execution components of the Annual Campaign, overseeing the Employee Annual Campaign Committee, assisting in staff and volunteer training, special events, communications, stewardship and recognition. Development Associate, Annual Giving will be required to work with Association subject matter experts to ensure donor database quality.
Razor’s Edge Donor Database:
- Maintain database integrity by setting and enforcing standards and controls for development data. Responsible for database integrity and accuracy.
- Secures database by developing policies, procedures, and controls.
- Responsible for all aspects of donor database including:
- Pledge entry
- Pledge payment
- Gift entry (including on-line gifts)
- Gift and pledge collections
- United Way donor designation
- Donor acknowledgement
- Pledge invoicing
- Split interest agreements
- Grant payments
- Donor recognition
- Supervise and organize work of staff working in the database. Recruit and train temporary help during peak seasons. Check and review work to ensure quality control.
- Responsible for the timely and quality production of acknowledgement letters, invoices, accurate reports, queries, fundraising and pledge reports, mailing lists, recognition lists, etc.
- Prepare and disseminate monthly development report and weekly activity report.
- Assist with preparation of donor/prospect profiles maintaining confidentiality.
- Accomplishes all development upgrades and database improvements in a timely manner while working collaboratively with IT and Finance.
- Maintains database performance by troubleshooting problems. Works collaboratively with Finance and IT to ensure that processes/solutions are acceptable to all parties.
- Work collaboratively with Finance and IT to ensure efficient and accurate processing of pledges and payments.
- Supports IT and Finance with decisions to upgrade hardware and software by assessing transaction processing and database production options.
- Primary contact for training in development section of database.
- Updates job knowledge by participating in educational opportunities; reading professional publications; maintaining personal networks; participating in professional organizations.
Annual Campaign:
- Oversees the Employee Phase of the Annual Campaign by creating a strategy in planning, communicating, promoting and executing a successful Campaign
- Oversee the Staff Annual Campaign Committee to include developing an agenda and conducting (in collaboration with the Director of Annual Giving and Special Events) monthly meetings
- Assists in educating and coaching branch staff, across the Association , in Best Practices of Annual Campaign and applying those principles to develop a richer culture of philanthropy.
- Assists Director of Annual Giving and Special Events in collaborating with branch leadership to develop campaign strategies to identify, cultivate and solicit branch annual campaign prospects, to include on-site support as needed.
- Assists Executive Director in applying Best Practices of Financial Development and adhering to the Annual Campaign Plan and Calendar, and assists the Director of Annual Giving in assessing progress and revising branch plans as needed
- Assists Executive Director and Staff in identifying the branch’s mission impact and developing stories to communicate that impact to members, board, donors and communities
Training and Events:
- Provide support to branch and Association committees and volunteers as needed for development training and special events (queries, sponsorships, prospect lists) or other development activities.
- Assists Director of Annual Giving and Special Events with annual Campaign Volunteer Training and other trainings as needed
- Assist with determining charitable portion of event tickets/sponsorships.
- Prepare acknowledgement letters for signature.
- Assist with finalizing guests lists and sending donor mailings/communications.
- Assist with planning and hosting responsibilities at Association events such as gala, turkey trot, golf, campaign kick off and wrap up, etc.
Communications:
- Provide support for all philanthropic communications including but not limited to identification of stories of impact, writing stories, taking pictures, disseminating stories through appropriate channels (electronic, print, web site, social media etc.)
- 3-5 years successful fundraising or non-profit experience including special events logistics
- Extensive knowledge of and 3-5 years experience with Riser’s Edge Database and NXT software
Salary: $42,257.00 - $63,385.00
