The American Heart Association (AHA) has an excellent opportunity for an Administrative Associate in our downtown, Pittsburgh, PA office. The organized, enthusiastic, self-motivated Associate will impact changing the lives of individuals in the area through the support of fundraising teams and events. The Administrative Associate will report to the Development (Fundraising) Director for Fayette County, PA, primarily supporting Heart Ball (Gala) and Heart Walk fundraising events and board in Fayette County. Will provide additional support to the Pittsburgh Metro development team and events as needed.

Areas of Responsibility: 
  • Perform donor/fundraiser/board data entry and generate donor/fundraiser and board member activity reports
  • Provide support for the fundraising events including cash handling, sponsorship tracking, contract management, tracking/inputting donations and managing in-kind donations
  • Assist team in preparing for meetings, including Board meetings. Attend meetings and record minutes as needed. Arrange for meeting space, room set-up, meals, equipment, etc.
  • Perform financial coding and accounts payable and accounts receivable work, including managing budget reports (use of IQ4bis & E1)
  • Oversee logistics associated with multiple fundraising events, including day of on site logistics
  • Manage annual email campaigns for fundraising events. Maintain external event websites as appropriate
  • Act as a project manager to help provide administrative support to AHA’s signature fundraising event(s).
  • Coordinates and manages event volunteers and interns.
Educational Background: 
Two+ year degree preferred.
Skills/Experience: 
  • At least 2 years of experience in an office setting as an administrative assistant or similar role
  • Excellent communication skills, both written and oral
  • Strong computer skills, proficiency with Microsoft Word, Excel, Power Point, desktop publishing. Ability to learn and efficiently utilize database, financial and reporting tools.
  • Ability to complete administrative related tasks such as reviewing, responding to and typing letters, reviewing documents, manuals and other professional office correspondence.

  • Willingness to work evenings and weekends when the job requires
  • Ability to travel and transport items to offsite meetings and events as needed
  • Willingness to take on other duties as assigned
