The American College of Medical Toxicology (ACMT), a national nonprofit organization engaging in professional education and consultation on medical toxicological issues, and its charitable arm, the Medical Toxicology Foundation (MTF), is actively recruiting an experienced Executive Assistant to assist in basic administrative functions for the organizations.
Although ACMT is based in Phoenix all staff are located around the country and conduct business virtually.
Administration

Coordinate all Board Support, providing support to the Executive Director by organizing and coordinating board meetings, taking minutes, conducting pre/post meeting follow up.

Provide general administrative assistance and support to ACMT’s day-to-day administrative operations including generating correspondence, file and record maintenance

Provide assistance monitoring award programmes and restricted funds

Provide other administrative assistance to the Executive Director and staff as appropriate
Accounting
-
Record daily bookkeeping entries, including deposits, accounts payable, accounts receivable, and account reconciliation

Send and follow up on invoices

Maintain and file all accounting records including maintaining electronic files and necessary file backups

Participate in a wide variety of projects and compile special reports as needed

Minimum of Associate's degree, Bachelor’s degree desirable

Experience working with Board of Directors or in a similar capacity required

Minimum of 2 years of bookkeeping/nonprofit Admin experience, preferably in a non-profit environment

Proficiency in QuickBooks, Google, MS Office required

Excellent communication skills, both verbal and written

Professional manner and strong ethical code

Strong attention to detail and commitment to working efficiently and accurately

Ability to multitask and work with speed and accuracy without immediate and constant supervision
