The Finance and Operations Administrative Coordinator is a key contributor to the mission by providing support to key executives on a wide variety of projects and initiatives. Performs duties such as meeting planning and coordination, oversees department committee and provides task force support, project tracking and deadline management, conducting research and drafting reports, travel coordination and general communications with internal and external constituents.
Areas of Responsibility:
- Acts as primary administrative support to the CFO and assists the Operations department including Finance, IT, and Strategy teams.
- General administrative duties include meeting scheduling and coordination, travel arrangements, expense reports, preparing presentations decks, creating documents, managing correspondence, facilitating communications with internal and external stakeholders, trouble-shooting various issues, and managing daily workflow.
- Provides direct administrative support for assigned national committee and task forces. Including maintaining meeting schedule and stakeholder roster, creating agendas and supporting materials, preparing meeting minutes, drafting official correspondence, and maintaining records.
- Maintains master calendar, files and records for the department and assigned committees.
- Supports conducting research, prepares metrics and manages project tracking systems for monthly financial reporting, data integrity, and a variety of chapter & department initiative.
- Periodically may be called upon to assist other team members and departments.
- Performs a variety of other duties as required.
Educational Background:
Bachelor’s degree in business, nonprofit management, liberal arts or related field preferred
Skills/Experience:
- 3-5 years administrative or professional experience preferred
- Must have versatile skills utilizing a variety of computer programs/software, with advanced knowledge of Microsoft Word, Outlook, Excel, PowerPoint and Adobe Acrobat programs.
Knowledge and Abilities:
- Possesses excellent interpersonal skills and follow-through, with a strong ‘can-do’ attitude and customer service focus, demonstrating the ability to work with a variety of internal/external stakeholders in a professional manner.
- Excellent written communication skills with attention to detail. Ability to communicate effectively with senior level leadership.
- Strong organizational skills with ability to handle multiple projects and deadline pressures.
- Self-motivated, highly adaptable to change, and able to work in a fast-paced environment.
- Strong collaboration skills, able to understand organizational dynamics, navigates expertly and can achieve success in a consensus driven, team-oriented environment.
- Ability to handle highly confidential and sensitive information.
