Provides support for the mission resources team. Supports team’s work on a wide variety of projects and national initiatives. Supports team’s work with national committees and task forces. Performs duties such as scheduling/coordination of meetings, coordination of wish reservations, and assisting with planning and development of trainings. Answers routine and non-routine correspondence from Make-A-Wish chapters and the general public.
Areas of Responsibility:
- Acts as primary administrative support for the Mission Resources team.
- Provides administrative support for strategic mission initiatives and task forces. Support includes, but is not limited to, creating task force materials, developing board or national committee reports and coordinating meeting details.
- Develops PowerPoint training resources and other educational program materials.
- Develops and maintains systems to track projects in process by department members, as well as projects planned for the future to provide team transparency into ongoing work.
- Evaluates, organizes and maintains wish and volunteer resources for chapters on the Make-A-Wish intranet site.
- Assists with special projects as needed.
- Maintains both paper and electronic files for the team.
- Cross trains in multiple department functions including but not limited to serving as back-up in the response to in-bound calls, emails and questions regarding the donation of frequent flier miles and remittance of donated miles to the appropriate airlines monthly. Other functions may include processing and distribution of other in-kind and discount resources, etc.
- Performs other job duties, as assigned.
Educational Background:
High school diploma or general education degree (GED) required; Bachelor’s degree in business or related field preferred.
Skills/Experience:
- Possesses excellent interpersonal skills and follow-through, with a strong ‘can-do’ attitude and customer service focus, demonstrating the ability to work with a variety of internal/external stakeholders in a professional manner.
- Excellent written communication skills with attention to detail.
- Strong organizational skills with ability to handle multiple projects and deadline pressures.
- Self-motivated, highly adaptable to change, and able to work in a fast-paced environment.
- Ability to handle highly confidential and sensitive information.
Qualifications:
- 1 – 2 years administrative experience required.
- 1 – 2 years of experience working in the customer service field preferred.
- Advanced knowledge of Microsoft Office applications and database management required.
- Working knowledge of nonprofit organizations is helpful.
Working Conditions:
- Work in an office environment.
- May require occasional work outside a traditional Monday – Friday work week.
