The WSMA Grant Specialist is responsible for coordinating the development, administrative management, reporting and closeout of WSMA grants. The Grants Specialist will ensure that WSMA’s grant-making and related processes, documents, procedures and implementation are executed efficiently, consistently, on schedule, and in a manner consistent with best practices in grantmaking.
Provides administration for the grants process throughout all stages including preparation, receiving, assessing, tracking, payment, documenting all inquiries and/or proposals; assuring that submitted documentation meets all WSMA and legal requirements; and maintaining accurate and timely records and data integrity of WSMA grant-making and other programmatic activities.

Works with the Executive Director to develop Program Guidelines for the WSMA Grant Program, coordinates and maintains grant cycle calendar, mid grant reviews, site visits and prepares grant related materials for the review process and reporting.

Develops and distributes outreach and marketing materials for grant programs, including language or translation services for historically marginalized communities to educate about the grant program. Implements or manages the implementation of other grants communications tactics. This will include social media (including but not limited to the WSMA website, Instagram, LinkedIn, Facebook, Tik Tok, Twitter [X], Threads), copywriting, editing, script writing, development of press releases, creation of advertising programs, attendance at events, pitching stories to media, developing website materials or writing product promotion materials.

Hosts information sessions, creates and releases FAQ documents, processes applications, administers review processes, communicates with unsuccessful applicants as well as successful applicants.

Provides technical assistance to grantees with online application, payment and reporting processes. Prepares documentation of pre-application and post-award grant technical assistance for applicants and grantees.

Maintains online grant database (SmartSimple) and associated grant files ensuring the accuracy and integrity of data as well as grantee relationship history.

Collaborates with the Executive Director to develop and manage standard terms and conditions for grant award agreements.

Negotiates deliverables and budgets with grantees within the Scopes of Work based on funding levels and coordinates the final contracting process.

Maintains relationship with grants management software vendor (SmartSimple or other), coordinates with vendor(s) to maintain software.

Manages legal and financial components of the grantmaking process, due diligence, ongoing review and grant cycle close-out.

Develops and coordinates grantee reporting processes for final approval and payment for each grant cycle.

Prepares reports and grant related spreadsheets, summaries and analyses for internal review and reporting.

Supports the WSMA’s finance and accounting functions; generates requested information, data and reports from information maintained in the grants management database or other sources.

Generates data and grant report analyses and for trends, insights and impact.

Collaborates with the Executive Director and/or Program Coordinator to prepare outbound grant proposals.

Experience with organizational budgets, budget narratives and programmatic alignment.

Experienced in analyzing data and information and writing comprehensive reports

Work experience with grantmaking as an grants coordinator or similar role preferred, but not required

Professional experience with MS Office applications (Windows, Word, PowerPoint, Excel), Google WorkSpace, Adobe, MailChimp, Zoom, Canva, others

Outstanding organizational and time management skills with an eye for detail

Excellent verbal and written communication skills

Experience with small and microbusinesses and/or entrepreneurs a plus

Strong sense of initiative and self-motivation and ability to work independently and collaboratively as part of a team.

30 hours per week (with some weeks requiring 30+ hours) with competitive salary commensurate with demonstrated required and desired experience listed. The salary range for this role is between $29.00 and $41.00 per hour.

Position is a combination of on-site (Olympia, WA) and remote work to be determined upon needs
