The American Heart Association (AHA) has an excellent opportunity for a long term Temporary Administrative Associate located at our Oklahoma City, OK location for at least 3 months (end date subject to change) supporting our Central Oklahoma and SE Oklahoma Heart Walks. The hours will be 37.5 hours a week and the successful candidate will be eligible for benefits.
The Administrative Assistant’s responsibilities will include supporting the Heart Walk, coordinating meetings and calendars, performing data entry of participants and donations, working on event logistics and incentives; perform general accounting/bookkeeping processes for invoices, expense reports, donations, check requests, and other applicable financial transactions. This position will also support customer relationship management and provide superior customer service to sponsors, volunteers, and staff; handle record maintenance and report generation and manage general day to day administrative duties. The successful administrative associate will have a drive for excellence and a positive attitude in the workplace.
Required Skills
- Advanced skills in all MS Office software applications including Word, Excel, Outlook, and Power Point. Skill will be tested.
- Comfortable working in a fast-paced, often time-sensitive environment all while producing error-free work.
- Ability to prioritize work and multi-task to meet deadlines.
- Ability to learn and utilize new computer programs to store data like Dynamics and Greater Giving. Ability to pull accurate reports from same computer programs.
- Excellent communication and customer service skills. Ability to convey a positive and professional image.
- Positive and can-do attitude is a must, as well as, a collaborative and helpful approach to getting the work of the American Heart Association done with excellence.
- Works with the drive and sense of urgency that is required to support a campaign and large special event with many moving pieces.
- Ability to accomplish more than most in a day due to exceptional computer skills and attention to detail.
- Ability to keep details straight and documented.
- Ability to effectively follow up with donors on payment of pledges, names for seats at event, etc. making donors feel important and left with a sense of delight.
- Ability to call local shops, businesses and organizations to solicit and follow up on requests for auction donations. Must ensure timely pick up of auction items, thank donors quickly and catalog items appropriately for event.
- Must have the ability to lift at least 20 lbs. from the ground to waist level with or without reasonable accommodation.
- Ability to interact with local and affiliate staff, volunteers and donors.
Required Experience
