Development Associate and Special Assistant to the Chief Development Officer

Reporting to the Chief Development Officer (CDO), the Development Associate acts as a resource to the CDO, project-managing collaborative fundraising efforts between the Development Team and the Office of the President & CEO. Based at the National Audubon Society’s Headquarters in New York City, the Development Associate will be an intergral part of the Development team, assisting with a variety of needs to broaden the scope and effectiveness of the fundraising program.

Areas of Responsibility: 
  • Support the Chief Development Officer in managing fundraising plans for the organization’s top prospects, including ensuring activity is accurately and promptly recorded in Salesforce
  • Coordinating meeting preparation and follow-up and supporting the development and execution of donor strategies.
  • Partner with the CDO, Director of National Initiatives and other team members in preparation and planning for donor prospect meetings for the President & CEO
  • Assist CDO manage fundraising plans for Board members, tracking all relevant information and next steps appropriately in the salesforce database
  • Assist with the preparation of proposals, reports, special donor correspondence, donor/prospect meeting briefings and event briefings.
  • Conduct research on donors and prospects and create custom profiles as requested
  • Schedule conference calls, appointments, meetings and travel arrangements for CDO and assist other development executive staff when appropriate, maintaining a nuanced understanding of priority contacts and activities
  • Help plan staff workshops, manage invite and RSVP lists, order catering, and collaborate on meeting logistics with other development support staff as needed.
  • Coordinate the agendas, materials and any necessary follow-up for the weekly Development Leadership meeting as well as the monthly Audubon Development meeting
  • Assist CDO in project managing the Development and Nominating Committees of the Board of Directors
  • Provide support as requested during quarterly Board meeting and dinner logistics
  • Assist and attend whenever appropriate in donor centric events, including the Audubon Gala, Women in Conservation New York, other cultivation and stewardship events as needed.
  • Work with of the senior leaders in development to onboard and train new Audubon Development employees
  • Keep Audubon’s donor database, Salesforce, up to date for the CDO and other Executive Team members.  Create and distribute report information to relevant parties
  • Assist the CDO and other team members with basic technical and logistical needs, such as travel & expense reconciliation, printing and preparing materials, and fundraising mailings.
  • Ensure timely processing of all bills and contracts
  • Other special projects as assigned by the CDO
Educational Background: 
Bachelor’s degree
Skills/Experience: 
  • 3+ years’ experience (or any suitable combination of education and experience) in a professional setting supporting senior-level staff, ideally on a decentralized fundraising team,. 
  • Proficient in Microsoft Office suite, to include Word, Excel, Outlook and PowerPoint.
  • Experience with donor tracking software and web-based systems strongly desired. Knowledge of Salesforce a plus
  • Excellent written and verbal communication skills, as well as a strong ability to edit and proofread documents.
  • Detail-oriented approach to work with strong organizational skills, and the ability to maintain confidential information with discretion and integrity.
  • A self-starter, who is able to prioritize and complete work with minimal supervision while meeting deadlines.
  • Professional, personable, and efficient approach to all aspects of position; must be a team player with excellent interpersonal skills.
  • A flexible approach to work, with the willingness to travel and work some evenings, if needed.
  • Interest in development, conservation and the mission of the National Audubon Society.
