Development Assistant, Planned Giving

Reporting to the Director of Gift Planning, the Development Assistant will be responsible for administrative support and project coordination designed to broaden the scope and effectiveness of Audubon’s gift planning initiatives. S/he will help ensure efficient intra-office and external communications for this team of the National Development department, and assist other gift planning staff to enhance cultivation and stewardship of Grinnell Legacy Society members. This is a temp to perm position.

Areas of Responsibility: 
  • Ensure accurate and up-to-date records in Audubon’s Salesforce database; enter donor data and meeting information, assign tasks to team members to help coordinate donor communications; generate reports and create mailing lists.
  • Manage and produce routine correspondence for gift inquiries and acknowledgements.
  • Develop a deep understanding of and utilize specialized gift planning software (PG Manager, GiftWrap) to generate key reports and contracts for life income donors.
  • Coordinate mailings with outside vendors; merge/mail small-batch communications.
  • Maintain hard and electronic files for donor gifts, Charitable Gift Annuities, and essential financial reports from State Street Bank.
  • Work closely with the Director and marketing teams to develop and implement communications with potential and current Legacy Society members.
  • Respond to donor inquiries via phone and email, and/or triage needs to other gift planning team members.
  • Process and coordinate new CGA gifts with State Street Global Advisors.
  • Process invoices through Audubon’s online invoicing system, as needed.
Educational Background: 
Bachelor degree and 1-3 years of work experience in a professional setting preferred.
Skills/Experience: 
  • Proficient in Microsoft Office suite including Word, Excel, Outlook and PowerPoint.
  • Experience with Salesforce strongly desired. Experience with other donor management software and web-based CRM systems will also be considered.
  • Excellent written and verbal communication skills.
  • Detail-oriented approach to work with strong organizational skills, and the ability to maintain confidential information with discretion and integrity.
  • Able to prioritize and complete simultaneous projects with minimal supervision while meeting deadlines.
  • Professional, personable, and efficient approach to all aspects of position; must be a team player with excellent interpersonal skills.
