Planned Parenthood Federation of America (PPFA) seeks a dynamic and effective Production Specialist to be responsible for production support and management of the PPFA and PPAF (Action Fund) direct response program for donors giving $1,000 to $24,999 annually. The Production Specialist will execute all aspects of the Direct Response President’s Circle production schedule ensuring deadlines are met and budget expectations are followed. This role will execute the day-to-day program operations - such as copy vetting, data file quality control, insertion proofs, art approvals, acknowledgement runs, and other production tasks. In addition, the incumbent will work closely with Finance, Development Systems and outside consultants. The position reports directly to the Associate Director Marketing & Analytics, President’s Circle. 

DUTIES AND RESPONSIBILITIES
  • Point person for all aspects of preparation of fundraising materials. This includes review of artwork for mail packages, proofing and vetting of copy for all mail, telemarketing and some digital marketing efforts.
  • Manages quality control processes for all out-of-house mail production. Approves ATPs, pay orders, list rentals and postage requests.
  • Maintains hard and electronic filing systems for all production fundraising materials and processes.
  • Represents President’s Circle in production workflow meetings as well as meetings with other PPFA departments and outside consultants.
  • Provides support and oversight for the day-to-day program operations including acknowledgement runs, administrative work, and other production tasks.
  • Proactively manages the inventory, production aspects, development of lists and mailings, database system updates, and the coordination with other division mailings and emails.
  • Directs and develops data management protocols with the support of Development Systems team.  Actively engaged in implementation of new database systems and the creation of business intelligence tools. Maintains a high level of expertise in information management technology.
  • Monitors the budget closely and identifies variances.
  • Manages the content for the President’s Circle Intranet page and markets to affiliates.
  • Works with Direct Response, Development Systems, and outside vendors.
  • Perform special projects and other duties as assigned.
  • Will maintain a high level of knowledge and expertise in Team Approach and Blackbaud CRM to include comprehensive understanding of how the database works and is managed. Uses skills to query, export and for reporting on program efforts.
  • Uses excellent database judgment and problem-solving skills.
  • Maintains a high level of donor confidentiality.
  • Provide general assistance to the Associate Director Marketing & Analytics in managing various aspects of program.
  • Models PPFA’s best practices in building collegial and productive working relationships with interdivisional and affiliate partners.
REQUIREMENTS / TECHNICAL EXPERTISE
  • Bachelor's degree or related equivalent experience required.
  • 1-3 or more years of directly-related, progressively responsible experience in donor communication, development, direct response, donor database and, program management, and budget.
  • Non-profit advocacy experience required.
  • Computer skills must be excellent including Word, Excel, and database applications.
  • Knowledge of direct response, donor communication and cultivation obtained through formal education and work experience.
  • Knowledge and skill in all multi-channel direct response techniques to enable candidate to develop strong, reliable fundraising decisions that produce desired results; and that are aligned with the financial and organizational goals. 
PERSONAL QUALITIES /OTHER ATTRIBUTES
  • Experience with both direct response marketing and with donor database systems.
  • An excellent communicator, with strong interpersonal skills, and a history of excelling in fast-paced environments.
