Planned Parenthood Federation of America (PPFA) seeks a driven PPX Director will serve as “chief of staff” to the PPX team, working through strategy and vision in concert with the Vice President and operationalizing it throughout the team. This person is an expert at program and project management, integrating diverse projects into a coherent program and skilled at motivating a team of specialized subject matter experts to deadline, ensuring coherence; setting strategic goals for the team, aligning project plans to departmental and organizational priorities to deliver on these goals.
This position requires thought leadership in key PPX initiatives, as well as ability to work cross divisionally within the Planned Parenthood’s national offices as well as affiliates partners throughout the Federation, their CEOs, senior leaders, staff, and external vendors.
- Ensure that the Vice President’s time and attention is focused on matters of highest priority, by conducting a regular review of all projects, allowing the Vice President to give feedback and direction on each project and strategy alignment.
- Serve as a thought-partner with the Vice President in the development and execution of strategic priorities and creating new programs, projects, and team policies; advising from an operational and stakeholder relations perspective.
- Support the Vice President by effectively communicating and presenting critical matters to department, organization leadership, and affiliates; nurturing collaboration between diverse professions.
- Regularly assess the interaction and relationships between PPX projects and other PPFA initiatives.
- Lead collaboration with project owners, internal resources and affiliates to implement work while ensuring alignment with PPFA guidelines and processes. Identifies risks and applies advanced problem-solving skills to mitigate those risks.
- Oversee key projects and initiatives, assuming added responsibility in core areas (e.g. abortion stigma) as needed to fill gaps, enhance capacity, or drive projects forward.
- Assist Vice President with staff development and retention.
- Assist in development of individual and departmental goals. Develop or strengthen processes for regularly monitoring progress against goals.
- Ensure that all PPX projects are aligned with have clearly defined timelines, expectations, and milestones, by developing and implementing a program management infrastructure.
- Regularly assess the interaction and integration of internal projects, nurturing collaboration and creating a dynamic, cohesive program.
- Ensure that all team members are integrated into project management approach.
- Ensure deadlines are met using problem-solving skills and assistance removing identified obstacles; resolving conflict and making difficult decisions to optimize individual and team abilities.
- Escalates project challenges to the Vice President as appropriate and/or necessary.
- Develop and maintain strong infrastructure within PPX for sharing a large volume of information internally and with vendors and affiliates.
- Prepare concise, practical updates to influence and inspire internal stakeholders (executive, boards, internal collaborators), maintaining strong internal communication.
- Supervise project management support team member(s) in developing and managing dynamic project plans. Monitor completion of deliverables and milestones.
- Prepare a suite of templates and/or trainings to support effective project management and planning, meetings, and communications.
- Managing the departmental budget and finances, and supervise the management of contracts, and overall department administration.
- Prioritize projects and ensure allocation of appropriate resources.
- Plan resources and timeframes with anticipation of substantive, environmental and political dimension to project management.
