Planned Parenthood Federation of America (PPFA) seeks a dynamic and effective Administrative Coordinator whom will provide general clerical and administrative support to the HCD Senior leadership team as well as general support for the department. Reporting to the Managing Director, Administrative Pool staff will be responsible for a variety of support services.
- Supports two or more teams/executives.
- Works on special projects as determined by leadership.
- General divisional administrative pool staff backup.
- Manages the daily schedule and travel of all HCD senior leaders.
- General administrative support, including management of department pay orders, expense reports, and timesheets.
- Schedules, takes notes, and disseminates follow up for HCD assigned meetings.
- Assists with special projects, including Federation-wide conferences and meetings.
- Sets up and manages technology for affiliate-wide webinars and conference calls led by the Healthcare Division.
- Processes TERs for assigned leaders.
- Maintains departmental contracts for goods and services.
- Develops Excel worksheets, PowerPoint presentations and other communication tools.
- Onboarding/off boarding new team members.
- Managing in person leadership meetings.
REQUIREMENTS / TECHNICAL EXPERTISE
- 1-3 years of directly related, progressively responsible administrative experience, with experience in project management preferred.
- Strong computer skills including word processing, database, spreadsheet, and use of the internet. Graphic design experience a plus.
- Exceptional attention to detail, with flexible attitude to accommodate constant change.
