Facilitates and coordinates a range of activities and projects in support of a team or division. May work collaboratively with both internal and external stakeholders such as grantees, event attendees, Visitor Center guests or foundation job candidates. Builds, defines and maintains information, systems and processes to support the work of the assigned team and team members.
Areas of Responsibility:
- Coordinate daily workflow and project activity, ensuring clear roles and responsibilities; ensures tasks and deliverables are being met and follows up on action items.
- Assist in developing deliverables and monitoring status, including document creation, presentation preparation, logistical support, SharePoint management.
- Provide seamless coordination, planning and preparation for multiple work streams and deliverables.
- May coordinate contracts, including tracking of invoicing and deliverables, receipt of required reports and monitoring expenditures. Coordinate the end-to-end contract and grant processes with internal parties (contracts, grants and legal business partners) and external parties (vendors and grantees).
- May facilitate arrangements for extensive travel and complex logistics for both external and internal meetings, speaking engagements and conferences.
- May schedule and assist with planning for events, meetings, conferences, and presentations which may include coordinating arrangements for participants.
Educational Background:
Bachelor’s or other advanced degree with 3+ years of experience, or equivalent experience.
