Provide wide and varied administrative and organizational support for program or operations leaders and teams.

Areas of Responsibility: 
  • Schedule a high volume of appointments and meetings, manage complex calendars for multiple people, with participants in different time zones.
  • Accept/decline meetings, update calendars when team members are out of office/ working from home/ on vacation/ on leave.
  • Support records and data management, including but not limited to management of the team SharePoint site, maintaining an organized filing system etc.
  • Provide communications support and assistance to ensure timely responses to inquiries including answering and prioritizing calls, email and mail communications.
  • Communicate clearly and interact professionally with parties internal and external to the foundation (clients, partners, grantees, government officials, consultants, vendors, etc.).
  • Maintain an organized system of tracking, monitoring, and prioritizing tasks and projects.
  • Organize Field visits (manage logistics of the field visit / own the agenda / coordinate with the grantees).
  • Coordinate internal events that require food being served – and any other related logistics on location, room setup etc.
  • Partially manage the onboarding / exiting/ transitioning colleagues.
  • Work on special projects as needed. May include conducting basic research and analysis of data to respond to requests.
Educational Background: 
Bachelor's Degree preferred with 5+ years of experience, or equivalent experience.

  • Excellent oral and written communication skills.
  • Adaptability; ability to adjust to a variety of working styles.
  • Proficient with MS Office Suite (Word, PowerPoint, Outlook, Excel); SharePoint a plus.
  • Adept at setting priorities, meeting deadlines, and balancing the needs of multiple individuals.
  • Experience with calendaring / meeting planning coordination.
  • Good judgment, maturity, discretion, tact, and a sense of humor.
  • Positive, collaborative approach to work; strong service orientation.
  • Excellent organizational skills.
  • Comfortable working in a complex, fast-paced organization.
