The Fundraising Coordinator works on a variety of fundraising activities and provides administrative and/or program support, including but not limited to gift processing, data entry, assisting with donor stewardship activities, and meeting and event planning. The Coordinator will be based in Delhi, India to support fundraising staff in India and the United States.

Areas of Responsibility: 

The Fundraising Coordinator must maintain advanced skills with the systems and resources utilized by the team to execute tasks and provide direction to program staff they are assigned to work with. S/he will implement processes and practices to improve effectiveness based and will effectively communicate or distribute information to assist staff in making decisions, solving problems, and improving workflow. The Fundraising Coordinator will be responsible for various activities, including:

  • Enthusiastically maintain meticulous database donor records for a growing number of prospects. This includes entering contact information, meeting notes, and interactions such as emails and phone calls.
  • Extract lists and other information from the database.
  • Process and record gifts in the database.
  • Draft and distribute donor thank you letters.
  • Coordinate donor mailings, conduct merge mailings, distribute funding appeals through MailChimp.
  • Plan meeting logistics.
  • Assist planning of special events for prospects and donors, in some cases taking on numerous logistical details and tracking guest lists.  
  • Proofread development publications and proposals.
  • Conduct donor prospect research and help staff prepare for prospect meetings.
  • Support fundraising communications such as event invites, framing agendas, etc.

S/he may have substantial contact with staff, donors, and trustees. S/he will perform other administrative functions as required to enhance the work of the team.

RESPONSIBILITIES AND SCOPE 

  • Coordinate projects with several variables, work within a defined timeline and budget.
  • Act independently on assigned tasks and exercise independent judgment based on analysis and experience.
  • Does not supervise any staff.
  • Duties are performed under general supervision and established guidelines.
  • Financial responsibility may include working within a budget, purchasing, processing invoices, contracting with vendors, and assisting with budget tracking.
  • Refers difficult questions and unusual problems to supervisor.
  • Serve as a team member for assigned projects.
  • Work environment involves only infrequent exposure to disagreeable elements and minor physical exertion and/or strain.
Educational Background: 
Bachelor’s degree and 3 years of experience or equivalent combination.
Skills/Experience: 
  • Experience generating reports, and analyzing and interpreting data.
  • Experience working across departments.
  • Experience with current technology in relevant field.
  • Experience, coursework, or other training in principles and practices of relevant field.

DESIRED QUALIFICATIONS

  • Experience coordinating and tracking projects and/ or fundraising campaigns.
  • Experience building relationships with staff, customers or similar.
  • Experience planning meetings and events.
  • Experience working with boards of trustees, volunteers, and donors.
  • Experience in business writing, editing, and proofreading.
  • Experience coordinating diverse activities to meet deadlines.
  • Experience working and communicating with a wide range of people.
  • Interest in fundraising and the environment.
  • Experience supporting a fundraising team.
  • Excellent written skills in English
  • Multi-lingual skills and multi-cultural or cross-cultural experience appreciated.
  • Ability to apply research skills for donor prospect profiles
  • Ability to write and edit written materials for use with donor solicitations, member communications, and special events.
  • Experience with database management, prospect research, generating reports and interpreting data
  • Ability to analyze information for the purpose of coordinating and planning activities and solving problems.
  • Ability to implement processes and strategic program goals.
  • Experience working with databases, including managing and tracking data.
  • Strong organizational skills and attention to detail.
  • Willingness to work flexible hours to accommodate international staff and time differences.
