Job Purpose
To manage and deliver core services to WVUK in an effective, timely and professional manner so that colleagues are enabled to succeed in their roles. Critical areas include, but are not limited to: inbound and outbound post and deliveries; stationery; archive and stores management; providing Environmental, Health, Safety , Welfare and spatial services; providing role cover within the Team in Milton Keynes and London offices as required.
Key Responsibilities
- Manage all post, including sorting, delivery, collection, franking and dispatch.
- Manage Product Stores, maintaining accurate records, checking and receipting deliveries, maintaining orderly stock rooms.
- Maintain consumable and corporate stationery including monitoring stock levels and re-ordering.
- Manage the records archival system, including maintaining the central register of archive boxes and movement of archives.
- Administer meeting rooms and common areas, ensuring issues/outages are actioned and support internal events to Service Standards.
- Administer the External Events and Insurance system.
- Administer/ support relationships with Tenants and External users of our facilities.
- Environmentally conscious disposal of waste, recycling and confidential waste. Working to improve our environmental performance.
- Provide ad hoc administrative support including: Budgeting, PO and Invoice processing, Contractor/Supplier analysis and review, Health and Safety, Facilities, and record keeping; a regular cover receptionist.
- Provide planned and "extraordinary" cover for : Milton Keynes Receptionist, Facilities Administrator (Including DIY repairs and working with contractors) and London Office Co-coordinator (Including First-line ICT Support).
- Provide occasional supervision of temporary staff and volunteers.
