As part of the HR Operations –Helpdesk team, provide a professional HR administrative service to the People & Culture (P&C) Team, servicing the requirements of the relevant business groups for all employment changes through timely and accurate advice on Our People HR system, ensuring that employee data held on Our People is entered & maintained to the highest standards as per P&C Service Level Agreements (SLAs) & Standard Operating Procedures (SOPs).

Areas of Responsibility: 
  • Be an active member of the HR Operations team ensuring HR Helpdesk calls and e-mails from internal and external customers are either answered or fielded to the appropriate person within the People & Culture team, providing accurate advice and guidance at all times.
  • Work to the P&C teams’ SLAs between Operations, Resourcing, HR Business Partnering and Payroll units providing a high-quality customer service to World Vision UK to aid effective query resolution on all staff changes.
  • Proactively manage & maintain the complete employee life cycle process from new starter data entry to employee separation data entry for all WVUK staff on WVUK’s internal Our People HR system – PeopleNet8.
  • Manage the Our People tasks workflow in strict adherence to HR and Payroll monthly deadlines.
  • Actively resolve Our People HR tickets raised by HR Business Partners for all employee changes.
  • Efficiently administer all tasks related to Our People and promptly generate all employment change letters for staff via Our People and maintain relevant documentation on employee personal files, both electronic & hard copy.
  • Provide accurate and timely HR advice to all WVUK managers and staff on the effective use of ESS & MSS on Our People.
  • Proactively maintain a zero-error status on the Our People Audit Dashboard reports as well as on the Payroll error log on a monthly basis.
  • Carry out administrative tasks on behalf of the P&C Team, such as processing purchase orders, DBS checks when due for renewal, co-ordinating the production of annual staff award certificates, logging end of year performance review forms & new goal setting forms etc.
  • Advice & guide WVUK staff on their travel plans ensuring all staff are adhering to WVUK’s International Travel policy.
  • Provide cover for the HR Assistant during absence as required and undertake tasks & functions to ensure appropriate cover for HR Helpdesk is maintained at all times.
