To provide high-quality support to PEPFAR Tanzania FBO initiative project team for effective running of the office and activities/events. Observe mission and core values of World Vision and demonstrate a quality of spiritual life that is an example to others

Areas of Responsibility: 
  • Create and update training/workshop calendars to ensure effective coordination
  • Liaise with relevant project staff to prepare/arrange meetings/workshops/training venue, materials and logistics.
  • Support documentation of training/meetings/other program events and ensure reports/minutes are compiled, submitted and filed.
  • Handle master list of all visitors/support staff coming to WV Mbeya Office.
  • Coordinate and facilitate timely hotel reservations, ground transport and facilitate international/local flight bookings for staff/visitors based on their flight details.
  • Handle incoming mails and draft routine correspondence in response to inquiries including providing guest with general country information through email, brochures, phone etc as per policy.
  • Orient visitors on adult and child safeguarding policy standards and ensure signed forms are filed. Ensure security briefing is done to visitors.
  • Collaborate with Senior Grants and Finance Officer in preparations of participants documents for payments during project activities.
  • Support Senior Grants and Finance Officer on procurement issues and ensure steward use of the supplied items.
  • Receive parcels and support proper distribution as per distribution lists
Educational Background: 
Bachelor degree in Community Development/Business Management and Administration or related fields.
Skills/Experience: 
  • Must be a committed Christian, able to stand above denominational diversities.
  • Perform other duties as required.
  • Effective communication and interpersonal skills

The following may be acquired through a combination of formal or self-education, prior experience or on-the-job training:

  • Experience: 2 yrs in related fields
  • Preferred: At least 1 year experience working with International NGOs
  • Technical Skills & Abilities:
  • Computer skills in Excel software, Microsoft Word, e-mails.
  • Knowledge of Database management
  • Good planning and organizational skills
  • Ability to maintain effective working relationships with all levels of staff,
  • Ability to communicate in both Kiswahili and English
  • Ability to analyze data

Working Environment / Conditions:

  • Work environment: Office-based
  • Travel: 5% Domestic travel is required.
