The American Heart Association (AHA) has an excellent opportunity for an Administrative Associate in our Great Rivers Affiliate office located in Louisville, Kentucky . The organized, enthusiastic, self-motivated Administrative Associate will be responsible for supporting the Louisville Heart Ball and Go Red for Women events. The Associate will be responsible for the coordination of event logistics and volunteers, in addition to providing administrative support like data entry, email campaigns, and sponsorship tracking.

Areas of Responsibility: 
  • Supports the Heart Ball and Go Red for Women Directors and the signature Heart Ball and Go Red events. This may include other special events as needed
  • Supports Executive Leadership Team meetings
  • Coordinates meetings and calendars
  • Manages and maintains databases including the online event management program. Includes; data entry of participants, sponsorships and donations and generating reports
  • Written correspondence including memos, presentations, newsletters, meeting minutes, meeting agendas, etc
  • Manages event logistics
  • Managing general office functions including reviewing mail and preparing daily banking deposits
Educational Background: 
Must have earned a high school diploma or GED.
Skills/Experience: 
  • Must have at least one year experience in a related role.
  • Event planning experience preferred
  • Strong customer service focus.
  • Strong computer skills specifically proficiency with Microsoft Word, Excel, Power Point, Publisher and database tools.
  • Previous experience with sales and/or fundraising databases and accounts payable/receivable programs desired.
  • Experience with social media, specifically Facebook and Twitter.
  • Proven track record of completing administrative related tasks such as reviewing, responding to and typing letters, reviewing documents, manuals and other office correspondence.
  • Self-starter and ability to work independently.
  • Ability to schedule and prepare for
  • Strong organizational skills and detail-oriented with ability to multi-task and thrive in a high-pace work environment.
  • Strong professional written, verbal communication and interpersonal skills including ability to interact with high level corporate executives and community leaders.
  • Ability to successfully pass a background check.
  • Reliable transportation and ability to work some nights/weekends as needed for events.
