The role of the Data Specialist, Early Childhood is to manage the quality of data collection through continuous training, support and oversight.  This position will report to the Director, Early Childhood.   The Data Specialist is responsible for providing ongoing support to the ESSS team and partners.  This includes training, technical assistance, assistance with data collection, monitoring and evaluation activities as well as managing the administrative day-to-day operations for Early Steps to School Success including coordinating meetings/communications among project team members and procurement activities.

Areas of Responsibility: 

The Data Specialist for Early Childhood Programs:

  • Exercises independent judgment and discretion on significant matters related to functional area
  • Requires little or no supervision on routine work assignments, but may require supervision to review work progress and results on non-routine work assignments
  • General regulations exist, but incumbent must interpret the regulations.  The "what" and "how" are provided, but must always interpret the "how"

Essential duties include:

  • Provides training, technical assistance and ongoing support to Early Childhood Coordinators to support data entry, including developing and maintaining the SCORE Users Guide for Early Childhood Coordinators (50%)
  • Monitors site data for accuracy, completeness and timeliness. (20%)
  • Collects data, develops, and distributes reports to support monitoring program implementation, work completion, program evaluation, grant preparation and report development. (15%)
  • Works closely with USP Monitoring and Evaluation team to monitor SCORE in order to identify problems, suggest improvements, and ensure ease of use. (5%)
  • Provides Administrative support (10%) that includes:
  • Arranging and participating in meetings and conference calls; supporting webinar facilitation, tracking attendance.
  • Assisting with managing the ESSS Portal and Cypherworx platform.
  • Assisting in program procurement activities.
  • Providing operational and administrative support to the program as required to ensure smooth program operations. Includes such things as updating resources as needed and ordering curriculum materials; providing support for report preparation; managing site and staff contact information, etc.
Educational Background: 
High School or Technical/Vocational Degree
Skills/Experience: 
  • Minimum 3-5 years’ experience in process management and administrative support
  • Professional level of specialized knowledge to manage complex tasks, programs or projects.
  • Strong communication and problem solving skills
  • Professional level experience with Microsoft Office, Excel, and Outlook
  • Ability to develop Power Point presentations
  • Knowledge of data collection, monitoring and evaluation processes
