The Sponsorship Data and Reporting Specialist works closely with the USP Sponsorship Team, Global Sponsorship Operations, and IT to meet all sponsorship-related objectives, ensuring effective administrative systems are in place, and that processes and planning are closely coordinated and in full compliance with internal and external Sponsorship policies and procedures. This person will administer the sponsorship database (ASISt), including data collection, data entry, and maintenance processes, to ensure accuracy of the sponsorship data, monitoring and reporting system.

Specific responsibilities include the following: timely and accurate compiling of all Sponsorship reports, including the Upstream, Downstream, HOLDS, LMR, correspondence, and other activity and/or campaign tracking reports; actively participating in the development of Sponsorship partner trainings; conducting monthly data quality checks; supporting the annual budget planning and reforecast processes; and ensuring accuracy and timeliness of the management of the ASISt database, and training relevant staff on its functioning.

The Sponsorship Data and Reporting Specialist is required to represent Save the Children’s core values of Accountability, Ambition, Collaboration, Creativity, and Integrity to internal and external audiences.

Areas of Responsibility: 

Operations and compliance with internal and external standards (35%)

  • Ensure compliance with the Sponsorship Policies and Procedures Manual, child safeguarding protocol, agency procurement and consultancy policies, and file retention requirements.
  • Make sure all requirements for child eligibility management and reporting are met upon enrollment and throughout the year, including child participation, parental consent, and routine eligibility checks.
  • Ensure that physical and electronic files are kept accurate, up-to-date, and secure.
  • Maintain all ASISt procedure manuals, making sure processes are up-to-date by function and by task.
  • Participate in Sponsorship Reviews and Self-Assessments.
  • Monitor and assist with the resolution of all relevant areas of operation on the monthly Operations and Retention grid.

Maintenance of ASISt database to support sponsorship operations and reporting (30%)

  • Maintain ASISt to its maximum capacity for monitoring and reporting functions of the entire sponsorship management system.
  • Set up accounts for, and provide training and technical assistance to, staff for utilizing ASISt.
  • Ensure timely submission of required number of child enrollments with accuracy.
  • Process routine upstream and downstream reports.
  • Compile ASISt reports needed for the monthly Sponsorship Liaison Dashboard and weekly Liaison Management Report.
  • Conduct daily secured sponsorship database backup of ASISt and other Sponsorship databases.
  • Support phase-in and phase-out operations and inventory processes.

Community Capacity Building and Quality Control (25%)

  • Support the development of training for partners on new child enrollment, eligibility monitoring, annual family update collection, reporting tools, and correspondence management.
  • Verify Annual Family Update data and photo quality, and complete the data entry campaign on time.
  • Expand electronic AFU and enrollment functionality to partners in growth states.
  • Support the development and distribution of liaison resources including, but not limited to, the Liaison Manual and Planual, and fall and spring community kits.

Other related projects or activities (10%)

  • Lead quality improvement efforts to ensure that key areas for improvement are identified each year and progress towards improvement is tracked.
  • Assist Sponsorship Director and Deputy Director in responding to inquiries from sponsors and SC Global Sponsorship Operation and take action as necessary.
  • Provide support, potentially including deployment, in the event of an emergency response in a Sponsorship impact area.
  • Other projects as assigned.
Educational Background: 
High School or Technical/Vocational Degree
Skills/Experience: 
  • You have a minimum 3-5 years' experience in area of expertise
  • Professional level of specialized knowledge to manage complex tasks, programs or projects.  
  • Ability to analyze information, evaluate options, and think and plan strategically.
  • A flexible and initiative-taking attitude with the ability to manage an unpredictable workload.
  • Highly developed verbal and written communication skills. Spanish proficiency is a plus.

Preferred Qualifications

  • Bachelor’s degree, in operations, finance, IT or other related field, and experience supervising others preferred
