The Coordinator, Procurement supports US Programs and Advocacy (USPA) by supporting an effective procurement strategy that includes effective vendor management, procedures, policies, systems, customer service and training which will empower staff to purchase quality goods and services efficiently.

This position is responsible for supporting vendor management; contract negotiation; review of contracts, including Letters of Intent (LOI), Memoranda of Understanding (MOU), Requests for Proposals (RFP), Requests for Quotations (RFQ); and purchasing strategy. It is critical for this position to understand the procurement process from sourcing to payment and to provide excellent service to all stakeholders.

Areas of Responsibility: 

SpendBridge Maintenance (30%)

  • Serve on SpendBridge roll-out committee, participate in testing, and support trainings
  • Maintain punch out vendors ensuring that all items are captured at discounted rates
  • Support purchasers with system issues

Contract Repository (30%)

  • Input consultant, MOU, lease, and Master Service Agreements (MSA) into contract repository system on ServiceNow
  • Maintain contract repository by updating out of date or non-complete information
  • Report out on contracts that are ending and need renewal

Procurement & Vendor Support (30%)

  • Create LOI’s, RFQ’s and RFP’s in alignment with SCUS procurement policy to support procurement process
  • Conduct supplier analysis to inform a procurement strategy for negotiating price reductions and identifying new suppliers.
  • Liaise with SCUS Accounts Payable regarding efficiency of invoice and vendor processes to ensure timely and accurate payment.

Special Projects (10%)

  • Other duties as assigned
Educational Background: 
High School or Technical/Vocational Degree
Skills/Experience: 
  • Minimum 2-3 years' experience in area of expertise
  • Learned knowledge and technical skills to support semi-complex tasks
  • Professional level of specialized knowledge, technical/functional skills and attention to detail to manage complex tasks, programs or projects

Preferred Qualifications

  • 3+ years’ experience in area of expertise
  • College/ advanced degree in related area (communications, monitoring & evaluating, global health, international development, etc.)
