The Sponsorship Communications Coordinator is a front-line position, critical to ensuring a best-in-class Sponsorship operation and cultivating meaningful relationships between sponsors and children. The position holder is accountable primarily for assisting with the day-to-day collection and preparation of marketing deliverables, child photos, the careful processing of donor and child correspondence, and child information management. This role serves as a gatekeeper for child safeguarding, sponsor satisfaction, and compliance with Global Sponsorship Policies and Procedures. The position holder reports to the Sponsorship Communications Manager and actively represents Save the Children’s core values of Accountability, Ambition, Collaboration, Creativity, and Integrity.

Areas of Responsibility: 
  • Assist in providing input to their function’s strategic and operational plan
  • Assist in developing short-term plans and organize resources to achieve results
  • Accountable for day-to-day decisions around execution of job, and for setting clear objectives and measures for self
  • Require little or no supervision on routine work assignments, but may require supervision to review work progress and results on non-routine work assignments

Corporate Sponsor Servicing Support (20%)

  • Support Communications Manager with planning and completion of high-quality Corporate Sponsor special projects.
  • Track Corporate Sponsor project assignments and liaise with Community Liaisons to acquire necessary deliverable components.
  • Present regular status updates to manager, team, and other stakeholders.

Home Office Marketing Deliverables Support (20%)

  • Assist Communications Manager with planning and completion of high-quality deliverables according to the annual Operations and Retention Plan.
  • Assist Communications Manager with annual Success Story campaign and yearly Lifeline Child updates.
  • Work with Community Liaisons to collect high-quality quotes and photos for deliverables.
  • Upload and rename files to Egnyte according to Marketing Manual.

Child Photo Quality and Information Management (20%)

  • Review, track, and accurately process new child enrollment and Annual Family update materials.
  • Support Communications Manager to ensure all child photos meet Global Sponsorship photo quality standards.
  • Provide timely feedback and technical assistance to liaisons related to marketing assets, child photos, camera equipment, and other specific projects as needed.
  • Assist with child record maintenance, both in hard copy and in electronic storage, adhering to all required policies and participating in annual self-assessments and file audits.

Child Correspondence (20%)

  • Support Communications Manager with collection of quarterly Quality Communications checks and upload to Egnyte.
  • Review materials to ensure child safety standards are met and notify Community Specialist of any inconsistencies or policy violations.
  • Review incoming 30-day letters from children for during annual campaigns and provide basic support to liaisons regarding quality.
  • Distribute Welcome Letters to children via weekly mail pouches.
  • Maintain electronic copies of child proactive letters, routine correspondence, and 30-day letters and ensure files are complete and up-to-date.
  • Support Sponsorship Operations Coordinators with mail processing during high volume periods.

Sponsor Correspondence (15%)

  • Collect and document sponsor correspondence, ensuring compliance with Child Safeguarding protocol and Sponsorship policies and procedures.
  • Process sponsor mailings received from Home Office, such as Bouncebacks and birthday cards, and redistribute to the intended children.
  • Distribute Welcome/Transfer Letters to sponsors.
  • Support Sponsorship Operations Coordinators with mail processing during high volume periods.

Continuous Improvement and Process Development (5%)

  • Contribute to the development of community trainings, resources and materials to ensure information is accurate and in line with Global Sponsorship standards and most current internal processes.
  • Lead or participate in Qwiksolvers and/or support Continuous Improvement projects within the department to support the development of new processes and drive operational efficiencies.
Educational Background: 
High School or Technical/Vocational Degree
Skills/Experience: 
  • Minimum 2-3 years' experience in area of expertise
  • Proficient use of Word, Excel, Publisher, PowerPoint and Outlook
  • Excellent verbal and written communication skills; professional, proactive, and responsive approach to teammates and field staff
  • Learned knowledge and technical skills to support semi-complex tasks
  • Professional level of specialized knowledge, technical/functional skills and attention to detail to manage complex tasks, programs or projects in the face of multiple priorities
  • Calm and poise in the face of change or unexpected challenges, capable of solving problems in a fast-paced, dynamic and rapidly changing environment
  • Ability to interpret and implement established policies and procedures and to recommend changes when appropriate

Preferred Qualifications

  • 3+ years’ experience in area of expertise
  • College/ advanced degree in related area (Communications, Marketing, etc.)
