Associate Director, Vendor Management and Training

The Associate Director of Vendor Management & Training supports US Programs and Advocacy (USPA) by creating an effective procurement strategy that includes effective vendor management, procedures, policies, systems, customer service and training which will empower staff to purchase quality goods and services efficiently. 

This position is responsible for vendor management; contract negotiation; review of contracts, including LOIs, MOUs, RFPs, RFQs; and purchasing strategy; as well as the leadership and management of USPA Procurement and GIK staff.  It is critical for this position to understand the procurement process from sourcing to payment and to provide excellent service to all stakeholders.

Areas of Responsibility: 

Procurement Vendor Management and Analysis (35%)

  • Create, review, and maintain all contracts and agreements related to USPA Procurement.
  • Manage and develop existing vendor relationships and pursue new vendors as needed to ensure USPA is able to procure quality goods.
  • Conduct supplier analysis to inform a procurement strategy for negotiating price reductions, identifying new suppliers, and pursuit of budget relieving GIK.

Procurement Customer Service and Training (35%)

  • Design and maintain systems that facilitate the ability of USPA staff to ensure that goods and services can be procured such that programmatic requirements are met and financial and budgetary safeguards are proper and effective.
  • Provide training for all USPA staff to understand and be able to effectively procure goods that support their work.
  • Develop an understanding of the unique needs of our programs and provide day to day troubleshooting and general support with excellent customer service to all USPA. 
  • Liaise with SCUS Accounts Payable regarding efficiency of invoice and vendor processes to ensure timely and accurate payment.
  • Liaise with SCUS Sourcing/Procurement team to ensure our strategy, policies and procedures are in alignment.

GIK (10%)

  • Oversee GIK end to end process for USPA
  • Ensure GIK resources are leveraged to support USPA strategy

Personnel Management/Leadership (10%)

  • Provide leadership, guidance, support, feedback and development opportunities to direct reports
  • Provide guidance, support, and feedback to cross-functional team members in USPA
  • Conduct regular and reoccurring performance discussions with direct reports and provide annual performance appraisals

Educational Background: 
Bachelor’s degree
Skills/Experience: 
  • You have a minimum 5-7 years' procurement experience in vendor management, contract management, process management and customer service.
  • Ability to work with staff at various levels, and to demonstrate the importance of upholding procurement policies and procedures
  • Must have strong communication, customer service and resolution skills
  • Must have strong computer skills
  • Must have a familiarity with development of policies, procedures and development
  • Professional level of technical or managerial knowledge, skills, and experience to manage the operational activities of a unit or team, or provide the technical and management support related to various size programs, grants or projects.
