Summary
The Specialist, Emergency Response, Finance and Operations, will be among the first to deploy to domestic emergency responses. She/he will provide financial support for Save the Children's U.S. Programs (USP), a division within the agency charged with implementing high quality response and recovery support in times of crisis. USP responds to disasters that directly impact children, and through direct fundraising, grants, contracts, and private contributions, helps communities meet the needs of children immediately and throughout their recovery. The Specialist is responsible for supporting the current Harvey, Irma and Maria responses, providing budget holder support, award management, sub-award management, budgeting, financial analysis, accounting, and expense allocation guidance related to emergency preparedness, response and recovery work.
What You'll Be Doing (Essential Duties)
Budget Management (25%)
- Work directly with response team lead on the ground to supporting budgeting, coding and expenses
- Provide daily updates of the budget trackers during a response
Award Management (25%)
- Support with the compilation donor budget proposals and assist with billing
- Draft invoices and financial reports that ensure accuracy and compliance with donor requirements and internal organization policy
- Store all documents on our award management system
Accounting (25%)
- Ensure proper coding for expense allocation by adhering to the cost allocation matrix
- Prepare any necessary coding re-classes
- Perform monthly credit card reconciliation
- Request budget transfers to other units for reimbursement for response expenses
- Prepare GIK for posting
Staff Support (25%)
- Provide support to staff for travel, expense reimbursements, invoice payments, and check requests
- Train staff on the ground on conducting finance and operational processes and provide technical assistance throughout the response
- Support with re-classes for timesheets
- Assist with expense tracking
Required Qualifications
- A minimum of 3 to 5 years of finance, accounting or related business experience, including experience working with grants/contracts
- Experience working on emergency response or humanitarian relief efforts
- Advanced knowledge and hands-on experience with Microsoft Excel and demonstrated ability to apply creative ideas for data compilations
- A creative, self-starter who has the ability to support multiple stakeholders by providing sound financial data and guidance
- Ability to work with staff at various levels, and to demonstrate the importance of upholding financial policies and procedures
- Strong diplomatic, interpersonal, and team skills. An in-depth understanding and problem-solving approach to financial management as it relates to complex, multifunctional budgets.
- Ability to prioritize, work well under pressure and capably handle/juggle multiple tasks within tight deadlines.
- High School diploma required; Bachelor's degree in Accounting or related field preferred
