Manager, Accounts Payable

The Manager will serve as the point of contact for all payable matters as they related to Head Start & HQ vendor payments. They will establish critical internal controls related to the payable functions and ensure accuracy in the allocation of costs to various budgets. The Manager will work closely with Operations and Procurement staff to provide financial guidance and support where appropriate. The Manager will also have the opportunity to oversee Accounts Payable staff.

Areas of Responsibility: 

Manage payable process: (60%)

  • Oversee and provide internal control function to the payable process for all HQ and HS payment requests
  • Confirm and issue all payment advice files on a weekly basis
  • Maintain vendor master file in general ledger system
  • Review and post payments to the general ledger created by Accounts Payable staff
  • Create bank deposits and post to general ledger on a monthly basis
  • Process Expense Ledger for HQ staff
  • Ongoing maintenance of outstanding advances

Staff Management: (20%)

  • Hire, train, motivate and supervise accounts payable staff
  • Build payables team that is qualified, properly trained, motivated and have the tools necessary to do best job possible.
  • Ensure internal control system is properly implemented and system of check and balance is in place.
  • Set performance objectives and develop action plans with

Monthly reporting.(15%)

  • Prepare all monthly reports.
  • Monthly maintenance of all outstanding Advances
  • Register all reclass requests prior to month end.
  • Prepare monthly internal and external dashboards for AP.

Special Projects: (5%)

  • As Needed
  • Serve as testing lead on all Agresso enhancement projects
Educational Background: 
A minimum of a High School diploma is required. A Bachelor degree in Accounting and/or Finance preferred
Skills/Experience: 
  • 3- 5 years’ experience required working with accounting
  • One year minimum of supervising staff
  • Fund/Not-for-Profit accounting/finance experience preferred
  • Some grant experience preferred.
  • Computer fluency; Microsoft Word, Excel, PowerPoint, Access.
  • Familiarity with Agresso or similar ERP system preferred.
  • Ability to work with computerized financial software and Microsoft Word, Excel and Access
  • Strong organizational skills.
  • Ability to manage multiple assignments and present information in an informative and clear manner.
  • Strong accounting/finance skills.
  • Accurate and detail oriented
  • Ability to communicate effectively, both verbally and written.
  • Must maintain strict confidentiality at all times.
  • Must maintain the utmost of integrity in all aspects of the position.
  • Availability for business travel up to 20% of the time
  • Must maintain an intimate knowledge of budget and allocation of budget.
