About the Job
The Admissions Operations Specialist is a full-time, non-exempt position reporting to the Associate Dean/Director of Admissions and will contribute to the overall operation of the department. This role is responsible for evaluating prospective students’ transcripts, generating communication flow, processing applications and documents associated with student records, preparing and mailing acceptance packets, and providing other administrative support as needed.

The Admissions Operations Specialist contributes to this mission by assisting the admissions staff in expertly evaluating transcripts, and preparing student application records for an admissions decision. The CCU Office of Undergraduate Admissions and the application process is the gateway for prospective students to explore CCU’s academics and spiritual formation, and God’s leading for their higher education and calling.
Admissions Documents Processing
- Process applications, test scores, transcripts, letters of recommendation and other supporting credentials for determination of admissibility.
- Insert prospective student and application data by inputting text-based and numerical information from source documents.
- Troubleshoot and review data for errors; correct and check output, keep information confidential.
- Send correspondence to applicants with incomplete files to inform them of missing documents.
- Prepare and mail acceptance letters and information packets to applicants.
Transcript Evaluation
- Evaluate high school and college/university transcripts (paper and electronic) for high school and transfer students seeking admission to the University.
- Review and verify transcripts from national and international institutions as well as verifying the appropriate accreditation status of a transfer institution.
- Analyze individual courses and review course descriptions to determine initial unofficial equivalency including core curriculum equivalencies.
- Determine the nature of credit granted at transfer institutions and converts it to appropriate semester units.
General Administrative Support
- Provide administrative support to the Dean of Enrollment, Association Dean/Director of Admissions and Associate Dean of Admissions for Marketing and Events as needed.
- Prepare invoices for Accounting payment and create requisitions and purchase orders.
- Provide general office support including ordering office supplies and stationery.
- Perform other duties as assigned.
We're looking for candidates who have:
- Bachelor's degree from an accredited institution preferred.
- Experience working in Christian higher education preferred.
- Polished customer service with organizational and record-keeping skills.
- Proficiency with computer software, especially Microsoft Word, Excel, Outlook, and basic understanding of computer databases.
- Ability to learn new technology efficiently.
- Experience with Salesforce Enrollment Rx preferred.
- Exceptional written and verbal communication skills (demonstrated ability to communicate effectively by phone, by e-mail, correspondence and in person).
- Self-starting and self-motivating skills.
- Ability to balance multiple priorities in a very fast-paced environment, especially during high-demand periods of a semester.
- Ability to adapt quickly and cheerfully to changing priorities and processes.
Work Environment
While performing the duties of this job, you may be required to walk, stand, sit, reach with hands and arms, balance, stoop, speak with clarity, and have appropriate vision and hearing capabilities. The employee must occasionally lift and/or move up to 25 pounds. You may be required to work occasional irregular hours, including some nights and weekends.
