The incumbent is responsible for providing general assistance for FHI360 Kunming office and CAP-TB China program, including administration support, financial support procurement, payment and travel arrangement. 60% of her/his time contribute to admin work and 40% of time contribute to finance work is given. CAP-TB is funded by the United States Agency for International Development (USAID) / Regional Development Mission Asia (RDMA) and aims to strengthen prevention and management of multidrug-resistant tuberculosis (MDR-TB) in three Greater Mekong Sub-region countries namely China, Myanmar and Thailand.
- Review invoices, vouchers, travel expenses reports, and supporting documents in order to verify that expenses were properly incurred; computations are mathematically correct, the amounts and items claimed are in agreement with the document authorizing the claim, and the voucher/invoice does not represent a duplicate claim which has previously been submitted and paid.
- Support the Office Manager for all fund transact through bank accounts.
- Handles and maintain bank account opened in Kunming active, pick up monthly bank statements
- Handles weekly cash request to ensure compliant practices with FHI 360’s policy and donor’s requirement.
- Record and keep the bank journal and cash journal for Kunming office.
- Handles the taxation issues periodically to local and country tax offices include the tax declaration to local and country tax bureau by monthly.
- Service as one of administrator of China GFAS. Ensure invoices are entered in GFAS correctly in time.
- Responsible for physical inventory of non-expendable equipment and handle disposal of obsolete item.
- Supportive for annual audit conducted by local government.
- Updates contract list and coordinate with regular contractors in renewing the contracts.
- Works in collaboration with concerned staff at FHI 360 Asia Pacific Regional Office (APRO) or other relevant duties as assigned.
- Other duties as assigned.
CONTRIBUTIONS:
- Provide financial support for CAP-TB as requested and ensure Kunming office and program daily operation goes smoothly.
- Ensure all procurements are compliant with FHI360's policy and donor’s requirement.
- Contact vendors to make payments for goods and services.
- Contact bank for necessary financial transactions as assigned.
- Prepare AP Voucher for payment
- Prepare and submit withholding tax and other financial information as assigned
- Ensure financial information is updated and all documents are well-organized.
- 1-2 years of admin and finance experience or related experience.
- Experience in working with an international non-governmental organization is an advantage.
- Ability to written and spoken English
- Computer software skills, especially, MS Office programs.
