Under the supervision of the Human Resource Manager (HRM), the Human Resource and Administrative Associate (HRAA) is responsible for supporting recruitment of local Nepali staff and national/international consultant contracts, VAT record management and inventory management.  S/he works closely with all FHI 360 Nepal departments and units to ensure timely, appropriate and efficient office operations.

Areas of Responsibility: 
  • Support HRM on recruitment process for FHI 360 local staff; prepare and place advertisements, perform preliminary CV screening; coordinate for short listing and preparation for interviews
  • Prepare necessary logs/matrix/roster of applications and proposals sent to FHI 360 in response to the advertisements and through references
  • Support HRM in preparing contractual agreements for local/international consultants; coordinate with program and technical units; ensure contracts are completed in a systematic and timely manner; track and dispatch relevant reports; update and distribute consultant list on regular basis to staff
  • Arrange induction packet for new employees and coordinate with concerned units for orientation program.
  • Support FHI 360 staff training and development activities including solicitation of feedback from staff; designing staff development activities to meet needs of the country office, tracking activities and reporting to senior management
  • Compile VAT claim invoices of Country Office and Implementing Agencies (IAs) on a monthly basis and coordinate with USAID and Inland Revenue Department for VAT refund. Prepare annual VAT report of the Country Office and IAs for submission to FHI 360 APRO
  • Responsible for bi-annual VAT reconciliation of local IAs and Country Office as per the Country Office VAT Standard Operating Procedures     
  • Manage FHI 360 Nepal inventory including preparation of an annual inventory report for submission to USAID and FHI APRO/HQ  
  • Maintain FHI 360 Nepal staff leave records
  • Administer employee personal files and records 
Educational Background: 
Bachelor’s degree in human resources, humanities, business management or related social science or behavioral sciences and at least two years related experience in HR and administrative field
Skills/Experience: 
  • Strong knowledge and experience with office management systems
  • Demonstrated flexibility and openness in responding to PEPFAR and USAID work priorities and deadlines
  • Experience with USAID rules and regulations
  • Ability to work in teams and create collaborative team building environment
