Summary
The Houston Operations Support Coordinator is to work closely with the State Director as well as the rest of the Hurricane Harvey Response team to support the implementation and ongoing development of programs and the operation’s needs.
What You’ll Be Doing (Essential Duties)
Administrative/Budgeting Support (45%)
- Assist in providing logistical and administrative support to staff.
- Resolve days-to-day issues with finance, IT, travel.
- Assist in designing efficient in the budget administration.
- Review and process expenses, invoices, track expenditures and serve as a liaison with the finance teams for administrative budgets.
- Organize and maintain brochures and forms for vendors.
- Order office supplies and maintain the inventory.
- Other duties as assigned
Operations Support (30%)
- Assist with the maintenance and training on USP policies and procedures.
- Support staff to improve efficiency in pursuit of operational objectives.
- Assist with office space planning and workspace coordination for office- and remotely-based staff.
- Plan, coordinate, and assign office space.
- Coordinate changes or repairs to work spaces and systems
- Responsible for tracking of the fleet.
- Assist the Procurement team as needed with ordering or fulfillment.
Human Resource Support (20%)
- Assist in orienting and integrating new employees to the office and operation practices.
- With the USP HR Manager, create, organize, update, and distribute orientation and onboarding materials for staff in office.
- New staff and temporary staff orientation coordination.
- Partners and others in Child Safety training.
- Manage organizational charts.
Communication Support (5%)
- Draft communications and training for staff regarding new processes, procedures, and systems.
- Collect success stories or other information as requested for reports and external communications.
Require little or no supervision on routine work assignments, but may require supervision to review work progress and results on non-routine work assignments.
Required Qualifications
- You have a minimum 2-3 years' experience in area of expertise
- High School or Technical/Vocational Degree
- You have learned knowledge and technical skills to support semi-complex tasks
- You have a professional level of specialized knowledge, technical/functional skills and attention to detail to manage complex tasks, programs or projects
