This position provides administrative support to area Directors, Sr. Directors, and VPs in the logistical coordination and implementation of events and/or programs such as the Heart Ball and Go Red For Women Luncheon events in the Greenville market.
Areas of Responsibility:
- Supports AHA events through the coordination of event logistics to include kickoff meetings and day of event
- Maintains accurate record keeping, correspondence and mailings, and sponsorship management
- Maintains an adequate level of event material inventory
- Meets regularly with area directors and volunteers to maintain open lines of communication to ensure event objectives are achieved
- Assists participants with event management system as requested
- Maintains a high level of customer service by responding to customer inquiries both internally and externally in a knowledgeable and timely manner regarding AHA related events
- Solicits in-kind donations from businesses and corporations for auctions, tracks and manages auction item inventory, data entry and grouping of items for auction packages.
- Creation of signage, invites, event program/auction catalog and other items as needed.
- Maintains event management system on a daily basis including entering in received donations within a 48-hour time period and utilizing the database to enter auction items, sponsorship information, create mailings, emails and reports on a regular basis as requested
- Processes all event-related data in event management system and ensure accurate record keeping and reconciliation
- Effectively and accurately creates and prepares correspondence and documentation in a timely manner
- Performs other duties as required to support event Directors/Sr. Directors, Vice Presidents and Senior Vice Presidents in goal-achievement
- Assists in processing of incoming mail and ensures the integrity and security of donor information while adhering to the supports and ensures execution of National and Affiliate policies, procedures, standards, best practices, benchmarks and guidelines
- Other duties and projects may be assigned to the role, which provide general assistance as needed to support the mission of the American Heart Association
Educational Background:
High school diploma or equivalent experience
Skills/Experience:
- Excellent communication skills
- Proficient with Microsoft Office - Word, Excel, Outlook, Publisher and PowerPoint
- 1-3 years’ experience in an administrative support role, event coordinator role, or related field
