The American Heart Association has a temporary, full-time opportunity for an Executive Assistant in our Glen Allen, VA office. The temporary assignment will run approximately March through mid-June.

The Executive Assistant will be responsible for providing top-level administrative support to the Executive Vice President (EVP), Senior Vice President (SVP) of Health Strategies, and Human Resources Department. This position works together with the Senior Director, EVP Operations on projects and activities that support the successful, best-in-class operations of the Mid-Atlantic Affiliate.

Areas of Responsibility: 
  • This is a full-time, temporary position working out of the Glen Allen, VA office. The temporary assignment will run approximately March through mid-June.
  • Provides advanced administrative support for calendar management, high-volume travel coordination for EVP/SVP and preparation for meetings.
  • Executes logistics for internal and external meetings and conferences, i ncluding rooming lists, banquet orders, audio visual orders, payment and expense processes, and day-of meeting support. Meeting logistics are of the highest quality in terms of logistical arrangements and service to board, other volunteers and senior staff, and materials are of top-shelf quality.
  • Maintains birthday and anniversary calendars on internal shared drive.
  • Prepares and coordinates confidential correspondence and other, regular EVP communications.
  • Answers front door for guests and deliveries in Glen Allen office.
  • Proactively provides support for priority activities, including incoming/outgoing mail and shipping responsibilities. Incoming revenue and mail processed in accordance with best practice procedures to a high degree of accuracy and completeness.
  • Processes expenses, invoices, and monitors other financial matters as assigned and in compliance with established AHA procedures.
  • Orders recognition items as needed.
  • Schedules, communicates & tracks attendance for HR orientations, trainings and other calls and meetings.
Educational Background: 
High School Diploma or Equivalent.
Skills/Experience: 
  • 2-4 years of experience providing administrative support to multiple managers or executive level management.
  • Intermediate proficiency with Microsoft Office Applications: Excel, Word, PowerPoint, etc.
