Volunteer Coordinator

The Volunteer Coordinator is an exempt position typically working 45 hours a week and is responsible for all aspects of volunteerism. This includes the recruitment, processing, education, retention and coordination of all Habitat volunteers, including construction, committee, and office volunteers. The Volunteer Coordinator works closely with Habitat’s home sponsors to coordinate sponsor volunteers and works alongside volunteers on construction sites. The Volunteer Coordinator is also the AmeriCorps program manager and performs; orientations, appreciation, reporting and other tasks for each year’s AmeriCorps team. The Volunteer Coordinator supervises any part-time volunteer staff. The position works closely with all staff members and volunteers to create a positive and productive atmosphere for volunteers.

Areas of Responsibility: 

Volunteer Program

  • Produce written informational and educational materials for volunteer outreach
  • Respond to all individual and group volunteer inquiries
  • Works effectively to schedule volunteers to meet the volunteer needs of construction staff
  • Meet with construction staff weekly
  • Interview and place volunteers for specific needs such as committee, office and special events
  • Assists all staff in coordinating the scheduling of groups and skilled volunteers
  • Implement and coordinate ReStore volunteer program and place volunteers as needed
  • Maintain volunteer records, statistics, and the volunteer database for the affiliate
  • Develop and implement formal and informal volunteer appreciation program
  • Develop, maintain and evaluate construction volunteer programs to retain on-going volunteers
  • Conduct orientations for volunteers
  • Monitor and assess the need for volunteer services and suggest program improvements
  • Prepare job descriptions for volunteer positions
  • Monitor volunteer satisfaction
  • Oversee food, staging and related logistics for builds
  • Ensure that volunteer liability waivers are up to date, signed and filed
  • Work with staff to handle any volunteer concerns or issues
  • Maintain and update Volunteer Manual
  • Update website and social media on a weekly/daily basis
  • Manage community service volunteers from local jurisdictions
  • Coordinate activities for youth volunteers (Boy/Girl Scouts, Schools, etc.)
  • Recruit, train, and schedule site hosts
  • Contribute to the affiliate newsletter, website and other affiliate correspondence

Sponsors

  • Maintain and update Sponsor Manual
  • Working with all staff to meet with home sponsors to develop volunteer coordination plan
  • Coordinate scheduling and accompany sponsor volunteers during home construction
  • Plan and coordinate home dedication ceremonies

Committees

  • Provide training materials, procedures and current information to Habitat committees
  • Maintain communication and provide support to committee chairs
  • Hold annual committee chair meeting and provide training as needed
  • Work with staff liaisons to ensure productive committees that provide a meaningful experience for volunteers
  • Serve as staff liaison to Construction Committee
  • Work closely with Development Director on speaker’s bureau messaging, training and scheduling

AmeriCorps Program

  • Manage AmeriCorps program
  • Interview AmeriCorps team members
  • Develop, evaluate and implement program including orientation, appreciation, trainings, retreat(s), meetings and record-keeping systems for members
  • Ensure that members have a positive experience with GCHFH
  • Provide documentation, complete reports and work cooperatively with the Corporation for National Service
  • Attend annual orientation for new members

Other

  • Work closely with sponsors, HFHI and other organizations on special projects and builds
  • Habitat for Humanity Campus Chapter liaison
  • Represent Habitat to the community through community presentations
  • Establish and maintain effective relationships with sponsors, HFHI, and the community
  • Supervise volunteers in the office who assist with data entry and other tasks
  • Promote teamwork and foster motivation and understanding
  • Assist staff members in appreciation efforts for all volunteers
  • Coordinate volunteers for booths and fairs
  • Other responsibilities as assigned by Executive Director
Educational Background: 
Bachelor degree preferred, High School Diploma Required
Skills/Experience: 
  • Enthusiasm, teamwork focused and strong customer service orientation
  • Well organized and detail oriented, ability to meet deadlines, use time efficiently and prioritize
  • Ability to work independently and as an effective team member
  • Ability to work under pressure, handling change and unexpected events
  • Good communication and presentation skills with the ability to write professional documents and speak to groups of various sizes
  • Excellent project management skills
  • Good interpersonal skills with an ability to work with a variety of people and occasionally handle difficult situations and conflicts with tact and diplomacy
  • 2 years experience in the field of volunteer management, marketing, construction or equivalent combination of experience, education and training.
  • Personal volunteer experience and cross cultural experience a plus
  • Clean driving record and valid State of Michigan Driver License
  • Basic construction knowledge

PHYSICAL REQUIREMENTS NECESSARY TO PERFORM THIS JOB:

  • This position is primarily performed in the field at construction sites and in the office
  • Outside meetings and presentations are frequently required
  • Evening and weekend meetings required in locations and times when public transportation is unavailable
  • Occasional special projects such as the annual blitz build require spending 7-­‐10 consecutive days at the construction site overseeing volunteer logistics
  • Must have the ability to speak and hear in order to communicate with others
  • Must be able to move around sites with dexterity and have the ability to carry up to 30 lbs.

WORK ENVIRONMENT AND CONDITIONS:

  • Some work is performed at a desk, sometimes for long periods of time
  • Must work at a computer for periods at a time
  • Construction site work in varying weather conditions with periodic exposure to dirt, dust, dampness, construction debris, extreme temperatures, construction noises, fumes and odors
  • Tuesday – Saturday work schedule April through November
