The Payroll, Specialist will be accountable to ensure an accurate and timely payroll is issued.  This includes the calculation of gross to net pay, withholdings, and other related payments.  This role will also be responsible to provide customer service and answer payroll related questions from the agency’s employees that are on the agency payroll.  This role will also liaise with Human Resources and Accounting to ensure accurate reporting and representation of HR data in the payroll system and general ledger.

Areas of Responsibility: 

Payroll Processing 85%

  • Prepares and processes the Tenrox timesheet export for upload to payroll system, reviews and updates paychecks based on information provided by HR for the current payroll
  • Audits the Ultimate Software HR changes report which contains all employee payroll related changes for the pay period, interprets the data in the reports and then updates current payroll, as needed.
  • Prepares manual checks, updates garnishments, taxes and direct deposit changes.
  • Audits the payroll preview reports for accuracy prior to the Payroll Manager review and approval each pay period.
  • Manages, assigns to payroll coordinators and responds to Payroll Help Desk tickets including research and resolve outstanding issues.
  • Supports the Controller with closing activities related to staffing costs including month-end, year-end close, providing supporting documentation as required for audits and agency tax returns.

Innovation and Internal Controls 15%

  • Identifies opportunities for process improvement throughout the organization and participates on special projects, as needed.
  • Maintains and adheres to internal controls and reporting related to payroll transactions.
  • Updates payroll documentation and policies as they pertain to payroll and conducts training for staff related to payroll policies and understanding their pay
Educational Background: 
High School or Technical/Vocational Degree
Skills/Experience: 
  • Minimum 3-5 years' experience in area of expertise
  • Professional level of specialized knowledge to manage complex tasks, programs or projects.
  • Computer fluency; Microsoft Word, Excel, PowerPoint, Access.
  • Able to handle with highly confidential information.
  • Must be detail oriented.
  • Able to adhere to tight deadlines.
  • Excellent analytical and auditing skills.
  • Complete understanding of the HR audit controls associated with SOX compliance.
  • Excellent verbal and written communication skills.
  • Superior analytical, problem solving and technical skills.
  • Ability to work effectively both with and without supervision.
  • Requires high degree of responsibility, ability to prioritize and handle multiple, concurrent tasks.
  • You have learned knowledge and technical skills to support semi-complex tasks.
  • Experience with timekeeping systems and imports.
  • Must maintain the utmost of integrity in all aspects of the position.

Preferred Qualifications  

  • Experience with Ultimate HR/Payroll system and Tenrox a plus.
  • Understanding of payroll accounting
  • Fund/Not-for-Profit experience
