Senior Coordinator, Corporate Partnerships

The Senior Coordinator, Corporate Partnerships, provides all necessary support to the Vice President, Corporate Partnerships and is key in coordinating and organizing the activities of the Vice President and new business function within Corporate Partnerships.   

Areas of Responsibility: 

Provide assistance to the VP, CP and assigned Senior Directors in organizing and executing various administrative functions including (35%):

  • Maintaining calendars and scheduling meetings in a dynamic and ever-changing environment
  • Coordinating special meeting logistics (team meetings / retreats / trainings / council meetings)
  • Handling phones calls and e-mails, flagging issues and following up on VP’s behalf
  • Maintaining contact lists and updating BBEC for the VP
  • Managing subscriptions; ordering office supplies for team

Provide research support for the corporate team and ensure updated corporate profiles (25%):

  • Conducting ‘get smart’ research (5-7 per month)
  • Conducting competitive research on a semi-annual basis
  • Preparing corporate news updates on a bi-weekly basis
  • Liaising with the digital team to update monthly partner features
  • Liaising with the digital team to update partner summaries on an annual basis
  • Assisting with presentations for top prospects

Provide support to the CP VP—and assigned Senior Directors, Directors and Associate Directors travel coordination, including (20%):

  • Making travel arrangements, preparing trip binders for the VP
  • Submitting TARS and tracking approvals for ADs and up
  • Preparing and tracking expense reports for ADs and up

Provide department support for HR administrative issues including (10%): 

  • Coordinating candidate interviews
  • Preparing new hire paperwork, cube set up, orientation
  • Assisting with departing employee paperwork
  • Tracking annual reviews for VP to ensure all deadlines are met

Manage timesheets for the CP team including timely submissions and approvals.  Maintain department calendar for vacations and other out-of-office activities (5%).

Assist with special projects as requested, e.g., year-end mailings (5%)

Educational Background: 
High School or Technical/Vocational Degree
Skills/Experience: 
  • You have a minimum 3-4 years' experience in a demanding administrative role
  • Strong attention to detail (written and visual)
  • High level of organization and follow-through skills
  • Anticipates VP support needs without being prompted
  • Ability to prioritize and flexibility to shift priorities as needed
  • Ability to work with different departments
  • Service mindset – embrace wanting to help others
  • Excellent interpersonal skills—strong representative for the VP and CP team
  • Positive, upbeat personality and calm under pressure
  • Creative problem solver
  • Strong written communication skills; able to write with a warm tone of voice
  • Top notch skills in Microsoft Office products, especially Outlook, Word, Excel and Powerpoint
  • Professional manner and appearance a must
  • High level of personal confidence and comfortable working independently
  • Ability to maintain confidentiality at all times
  • Exception external presence; pleasant phone voice; ability to make others feel comfortable and appreciated both verbally and in written communications
