The Senior Awards Coordinator is a key member of the Award Management team of the Education and Child Protection Department responsible for supporting Awards Managers on US Government awards as well as supporting a portfolio of small, low risk corporate and foundation awards. The primary responsibility is supporting award managers to ensure donor compliance and successful implementation from opportunity to closeout and supporting the management of small low risk corporate and foundation awards from opportunity to closeout. This position will support the awards managers in meeting award management targets and metrics for the caseload of awards. This position will support effective flow of information and resources to Save the Children International via our Award Management and Financial systems. This position will assist in facilitating communication and oversight of the awards, and support in coordinating information between fundraisers, donors, internal teams and country office staff. This position will support in monitoring and flagging any variations in program implementation and timelines against established work plans, escalating to their supervisor as needed.
Monitor and Support Award Portfolio at 60% for Corporate and Foundation Donors and 40% for US Government Donors
- Efficiently support a portfolio of low to medium sized low risk corporate and foundation awards from start up to close out in accordance with Save the Children donor guidelines
- Support communications on assigned awards with Country Offices and SCUS stakeholders (i.e., TA providers, program officers, other Business Teams, Finance, Grants and Contracts, HR, Resource Development and relevant partners and sub-grantees)
- Support in monitoring award implementation, reporting and procurements to ensure compliance and completion of agreed deliverables
- Supports in tracking and monitoring project budget versus actual expenditures to ensure expense charges are allowable, and reasonable. Flag any variances to stakeholders and work to maximize the best use of resources
- Responds to donor communications, requests, amendments, etc. in coordination with direct supervisor
- Supports the development of and monitoring of award agreements as needed
- Assists with award budget planning and compiling budget submissions
- Supports the department/agency to maintain knowledge management systems (ensuring award files are kept up to date in consistent manner to support backstopping and handover)
- Donor Reporting:
- Support donor reporting tasks as needed such as copy edit interim and final donor reports, review for branding requirements, ensure documents are compliant with donor requirements and submitted on time
- Support response to donor queries when needed
- Escalates issues or risks as appropriate to supervisor
- Minimum 2-3 years' work experience in
- Experience in project management
- Experience supporting and/or managing small grants, awards or contracts
- Experience coordinating processes with large stakeholder groups
- Intermediate to advanced excel skills
- Strong written and verbal communication skills
- Attention to detail, ability to manage and complete tasks
Preferred Qualifications
- College/advanced degree in related area
- Experience with web based financial and award/project management systems
- Experience working in INGO environment with donor funded projects
- Knowledge of USG rules and regulations
- Knowledge of Spanish, French or Arabic
