The Executive Assistant provides comprehensive support to the Vice President/Chief Marketing Officer of Marketing, Communications and Fundraising. Responsibilities include organizing and facilitating senior team meetings/events, executive level relationship management (internal & external), briefing materials/reports, arranging executive travel, and general VP administrative support.
The position holder is entrusted with high level confidential agency information and is required to maintain highest standard of confidentiality. Additionally the Executive Assistant is expected to demonstrate Save the Children’s core values of Accountability, Ambition, Collaboration, Creativity, and Integrity to internal and external stakeholders.
- Accountable for day to day decisions around execution of job, and for setting clear objectives and measures for self
- Exercise independent judgment and discretion on significant matters related to functional area
- Require little or no supervision on routine work assignments, but may require supervision to review work progress and results on non-routine work assignments

- Manage (65%)
- Oversee extremely busy VP calendar, schedule meetings considering international time zones, arrange WebEx /conference calls, prepare presentations and talking points and take minutes as necessary. Exceptional follow-through to completion essential.
- Manage contact information for various networks and partners.
- Submit VP and approve senior leadership expense reports, timesheets, purchase orders, and travel requests.
- Confidentiality (20%)
- Through collaboration with VP create annual executive budget and reforecast budgets
- Assist with personnel and performance management record keeping, senior leadership onboarding, and posting MCF job requisitions.
- Organize and update files associated with strategic planning, VP projects, and annual calendar
- Special projects and event planning (15%)
- Provide assistance with logistic management and procurement needs for off-site events, VIP field visits, conferences, and retreats as requested.
- Support as backup for drafting and disseminating regular internal and external communications.
- You have a minimum 3-4 years' experience in area of expertise
- You have learned knowledge and technical skills to support semi-complex tasks
- Competence with all Microsoft applications (Word, Outlook, PowerPoint, Excel, etc.)
- Strong organizational and coordination skills; attention to detail a must
- Excellent interpersonal and communication skills (written and verbal) and teamwork orientation
- Ability to handle multiple tasks simultaneously, prioritize, and work independently
- Proven ability to handle extremely sensitive, confidential information
- Knowledge of additional office skills (video conferencing, live meeting set-up, etc.)
