The Coordinator, Travel and Office Support, is a part-time (20-30 hours per week) role in the Office of the President at Save the Children. This role will provide knowledgeable support to office of the President on all issues related to international and domestic travel and will maintain all files related to travel for the CEO, COO, VIP (Board travelers), AVP Gender Equity and other members of the team as needed. This individual will also manage the annual Performance Process for the CEO (completing on line forms with respect to CEO direct reports)
This role will also provide administrative support to Associate Vice President of Gender Equity (based in Washington, DC); including travel arrangements, expense report preparation, scheduling meetings and training sessions (general calendar administration), preparation of documentation for consultants, managing consultant payments and budget monitoring.
Executive Travel Support
- Provide regular support to the CEO, COO, Sr. Executive Assistant, Corporate Secretary, country offices and external organizations and other team members as needed with respect to all aspects of Executive Office travel, including collaboration with agency travel vendor, coordination with field offices in preparation of itineraries, hotel reservations, ground transportation arrangements, procurement of visas in timely manner and ensuring required immunizations are up to date.
- Have and demonstrate availability outside of business hours hours/days to troubleshoot travel changes should occasions arise when plans change, etc.
- This role will also include assisting with VIP (Board, some major donor) travel.
Support to Office of the President
- At the time of mid-year and year-end Performance Evaluations, coordinate input of performance review material for CEO’s direct reports as requested by CEO.
Administrative Support to AVP, Gender Equity
- Provide calendar management, travel arrangements, budget monitoring and handling general office administration duties (ordering supplies as requested, expense report preparation, etc.)
- Minimum 2-3 years office experience in executive assistant capacity
- Familiarity with all Microsoft applications
- Understanding of international travel requirements and visa application procedures
- Knowledge of/ability to become familiar with Save the Children’s domestic and international travel policies/procedures and online booking tool
- Willingness to learn basic SC systems (expense reporting/Agresso; budget monitoring)
