The Development Specialist is responsible for support, organization, clerical and administrative functions for the Development staff. Responsibilities include, but are not limited to, coordination of resources and materials to support the work of the Walk team including logistical support for Walk related activities, mailings, email correspondence, general clerical tasks and administrative assistance. Additionally, the Development Specialist is responsible for coordination and implementation of volunteer recruitment, training, placement and follow-up of Walk to End Alzheimer’s and third-party events throughout the chapter service area.

Areas of Responsibility: 

Event Support  

  • Provide logistical support for Western New York Chapter - Walk to End Alzheimer’s (6 walks) 
  • Create customized collateral for all chapter Walks (sponsorship packets, team captain packets, registration forms, flyers, rack cards, event day signage) 
  • Manage inventory of all Walk related supplies and materials and fulfill fundraising supply request orders 
  • Maintain Walk website for each Walk including news and information, calendar of events, and sponsorship content 
  • Coordinate and distribute Walk to End Alzheimer’s e-communications to Walk participants 
  • Schedule pods, trucks and movers for all 22 Walks 
  • Help with all event set up and break down 
  • Support events with calls, follow up, thank you’s 
  • Support day of registrations for events  

Provide Team Support  

  • Assist Walk Directors, Event Managers, and Development team as needed 
  • Support Walk Managers in Walk Day preparation by ensuring all necessary signs and supplies (on Walk day packing list) are designated and available for each respective walk 
  • Utilize Convio (and other fundraising software and programs) to provide support to Walk participants with online fundraising and registration inquiries 
  • Coordinate printing and mailing for corporate sponsorship, team and participant cultivation efforts 
  • Prepare Walk to End Alzheimer’s fundraising and registration reports  
  • Organize the transfer of all necessary supplies from offsite storage to office for Walk season (July - November) 
  • Anything else as needed  

Volunteer Coordination  

  • Manage recruitment, postings, application process, placement and scheduling of volunteers as needed for development events 
  • Communicate key volunteer messages and information to development volunteers  
  • Maintain volunteer database and individual records for the chapter 
  • Anything else as needed  

Clerical Support 

  • Control chapter Walk expenses by completing purchase orders and payment request forms accurately and in a timely manner 
  • Monitor Walk hotline & Walk support email account 
  • Anything else as needed  
Educational Background: 
Bachelor’s Degree in business, marketing, non-profit fundraising, or related field 
Skills/Experience: 
  • 2 years’ experience in an office environment and volunteer management 
  • Excellent written and verbal communication, presentation and interpersonal skills 
  • Strong organizational, multi-tasking and problem-solving skills  
  • Able to work successfully in a diverse team environment (independently or with supervision) 
  • Excel in fast pace, high pressure environments 
  • Outcomes driven; great attention to detail 
  • Flexibility of schedule and availability of time necessary to accomplish event goals 
  • Leadership skills in supervising event volunteers with professionalism 
  • Project management skills, including demonstrated ability to manage complex projects with multiple and competing deadlines 
  • Knowledge of strategic planning and budget administration preferred 
  • Proficiency with Microsoft Office Suite and Google Applications 
  • Willingness to work nights and weekends as needed (July - October critical)
