This person is responsible for scheduling and coordinating a high volume of business travel for employees and supported travelers, consistent with organization policies and procedures. Position processes a high volume of airline tickets, hotel accommodations, auto rentals, transportation, visas, immunizations, etc. Must provide excellent customer service and have excellent communication and interpersonal skills.

Areas of Responsibility: 
  • Provide comprehensive travel booking and support for employee/supported travelers for; air, car, hotel, transportation, passport/visa, etc.
  • Ability to communicate travel policies/procedures and travel documentation to travelers.
  • Ensures travel is booked in accordance with company and project related travel policies.
  • Process a high volume of expense authorization requests; data entry, advance calculations, etc.
  • Notifies travelers of arrangements, documentation and ensures travel files are in order
  • Work with director/manager to communicate necessary client requests and/or concerns
  • Work with director/manager to resolve problems and respond to questions from team members and employees
  • Serves as the liaison with airline, hotel, and rental car personnel to book travel arrangements and resolve discrepancies.
  • Researches discrepancies in travel related charges to ensure accurate expenses are processed.
  • Assist team with value-added projects to fulfill departmental and company objectives and goals
  • Attends training classes and programs agreed upon
  • Contributes to team and participates in team meetings, projects and objectives.
  • Performs other related duties as needed and as assigned.

  • Exercises judgment within defined policies and procedures to obtain solutions and perform duties.
  • Decisions made generally affect own job or specific functional area.

Supervision Given/Received:

  • Has no supervisory responsibility.
  • Receives instructions on new assignments.
  • Typically reports to a Manager or Director.
Educational Background: 
High School /GED Diploma or international equivalent.
Skills/Experience: 
  • Requires 4-6 years of travel coordination and administrative support experience.
  • Native Sabre airline reservation experience required.
  • Articulate, professional and able to communicate in a clear, positive manner with clients and staff.
  • Must be able to read, write and speak fluent English; fluent in host country language.
  • Prior experience in a non-governmental organization (NGO) preferred.

Typical Physical Demands:

  • Typical office environment. Ability to sit and stand for extended periods of time; ability to lift 5-50 lbs.
