Provides recruiting and administrative support for the recruiting department. Reviews and handles resumes and applications for job openings and arranges interviews by calling or emailing candidates. Assists department managers in updating recruitment policies, memos, emails and other correspondence in response to requests. Posts job openings to both internal and external job search websites. Maintains records of interviews and provides status reports to managers.  Performs administrative duties as necessary to assist with filling job openings for the organization.

Areas of Responsibility: 
  • Manages interview process from initiation to completion with scheduling interviews, travel arrangements, meetings, and processing employment paperwork.
  • Coordinates posting of job openings on internal and external websites.
  • Develops and maintains candidate records for interviews and performs background and reference checks.
  • Provides status reports and updates to hiring managers regarding job openings and job offers prepared.
  • Assists with recruitment events, such as job fairs, college tours, and attends professional conferences.
  • Participates in updating recruitment policies, procedures and other correspondence to ensure compliance with company policies and employment laws.
  • Responds to inquiries from candidates and hiring managers about job openings and position postings. *  Monitors and manages purchase requisitions, recruiting budget, coordination with temp agencies, consultants and Intern processing.
  • Creates personnel files and coordinates scheduling of pre- employment physicals.
  • Performs other duties as necessary or assigned.

  • Works on moderate problems that require analysis of situation or data and review of identifiable factors.
  • Exercises judgment within defined practices and policies in resolving problems and making recommendations.
  • Decisions may affect own job or specific functional area.

Supervision Given/Received:   

  • Have no supervisory responsibilities.
  • Contributes to business and operational decisions that affect the department.
  • Typically reports to a Director.
Educational Background: 
Associate’s Degree or its International Equivalent.
Skills/Experience: 
  • Typically requires up to 3 years of experience with recruitment activities and functions.
  • Articulate, professional and able to communicate in a clear, positive manner with clients and staff.
  • Must be able to read, write, and speak fluent English.
  • Prior work experience in a non-governmental organization (NGO).

Typical Physical Demands:  

  • Typical office environment. Ability to sit and stand for extended periods of time; ability to lift 5-50 lbs.

  • Personal Computer, Microsoft Office (i.e. Word, Excel, PowerPoint, etc.), e-mail, telephone, printer, calculator, copier, cell phones, PDAs and other hand held devices.
