The Special Events and Legacy Club Coordinator assists in the implementation of tactics for the ongoing cultivation and stewardship of donors. This position is the lead planner for all campaign, engagement, cultivation and stewardship events for the North Carolina Chapter philanthropy department. They will serve as the point of contact for the 750+ legacy club members living in and/or giving to North Carolina. The Coordinator will also be responsible for providing resources to the department on functions such as research, gift processing, prospect tracking, stewardship, etc.
ESSENTIAL FUNCTIONS
The Special Events and Legacy Club Coordinator supports and achieves the North Carolina Chapter’s fundraising goals through special events and Legacy Club stewardship strategies. These events and stewardship activities build and maintain major donor relationships, cultivate and solicit major donor support, and increase public awareness among key audiences. As a member of the Philanthropy team, the Special Events and Legacy Club Coordinator will work with the entire team to plan, implement and oversee all aspects of special events and Legacy Club interactions. These events range from large-scale annual events to intimate field trips. Size and frequency of events will change yearly and are dependent on the chapter’s fundraising goals.
The Special Events and Legacy Club Coordinator will be responsible for developing and implementing an annual stewardship plan for all members of the Legacy Club that live in or gift to North Carolina. This plan will include special events, personal visits, mailings/emails and phone calls for this subset of supporters. This position is the first line contact for people with questions regarding the Legacy Club that are yielded in North Carolina. This position will serve as a liaison with the Worldwide Office in regards to Legacy Club members living in or donating to the North Carolina Chapter. They will be responsible for managing the annual Legacy Club call program that is coordinated by the Worldwide Office
This position will also be responsible for a variety of administrative and operational support of the philanthropy department including but not limited to data and gift processing entry and prospect research.
RESPONSIBILITIES AND SCOPE
- Act independently on assigned tasks and exercise independent judgment based on analysis and experience.
- Coordinate/plan/staff annual Evening of Conversation stewardship event.
- Coordinate/plan/staff a minimum of one Legacy Club event annually.
- Coordinate/plan cultivation and stewardship events and field trips as needed by department.
- Coordinate projects with several variables, work within a defined timeline and budget.
- Does not supervise any staff, but will manage a minimum of one volunteer.
- Ensure compliance with TNC policies and procedures, and external (donor/legal/IRS) requirements.
- Financial responsibility includes working within a budget, processing invoices and transfers, and contracting with vendors.
- Manage all engagement, cultivation, solicitation (when appropriate) and stewardship of all 750+ Legacy Club donors living in or giving to North Carolina.
- Provide administrative support to the department.
- Provide input through project teams for the improvement of existing programs.
- Refer difficult questions and unusual problems to supervisor.
- Take leadership role in participation of WO’s annual Legacy Club Call program with goal of 100% participation.
- Travel and work flexible hours.
- Work environment involves only infrequent exposure to disagreeable elements and minor physical exertion and/or strain.
- Work is diversified and may not always fall under established practices and guidelines.

MINIMUM QUALIFICATIONS
- Bachelor’s degree and 2 years’ experience or equivalent combination.
- Experience building relationships with staff, customers or similar.
- Experience generating reports and interpreting data.
- Experience in business writing, editing, and proofreading.
- Experience working across teams.
- Experience, coursework, or other training in principles and practices of relevant field.
