Senior Manager Scientific & Corporate Meetings

The American Heart Association (AHA) has an excellent opportunity for a Sr. Manager, Scientific and Corporate Meetings in our National Center office in Dallas, TX (Position must be located in Dallas, TX).

The Sr. Manager, Scientific and Corporate Meetings will direct and manage the operations and logistics of a variety of scientific and corporate meetings. The meetings will vary in size and complexity. Duties will include all advance and onsite implementation of AHA specifications by working closely with AHA official vendors. In this role, you will direct, oversee and supervise two Managers, Scientific and Corporate Meetings to ensure all conferences and meetings are serviced properly. 

Areas of Responsibility: 
  • Direct, manage and develop staff to meet the department and AHA goals
  • Manage revenue and budgets for established portfolio while identifying potential cost savings and revenue gains
  • Manage project timelines, deadline compliance and effective communication to include dissemination of both
  • Create RFPs to ensure that future meeting rotations are booked appropriately
  • Research and conduct site visits, when necessary, of potential meeting facilities. Negotiate and execute hotel and vendor contracts to secure the most appropriate and cost-effective location
  • Manage all meeting logistics, pre-planning and on-site execution process (if necessary) for all assigned scientific and corporate meetings
  • Work with general contractor to develop floor plans and diagrams for all areas of the meetings, depending on assignments.
  • Communicate thoroughly with all levels of staff to produce and distribute copies of floor plans, diagrams, specification sheets and BEOs in a timely manner.
  • For assigned meetings, manage overall onsite operations at the convention center or hotel.
  • Oversee installation and dismantle of all areas of the convention center or hotel for assigned meetings.
  • Establish trusted relationships with volunteers including communication expectation building and anticipation of needs
  • Strategically work with Science Operations, internal departments and affiliates to meet department goals
  • Develops strategic goals for future meetings to extend the scientific reach of the AHA.
Educational Background: 
Bachelor’s degree from a four year college or university.
Skills/Experience: 
  • Minimum of five (5) years of meeting/event management experience with strong knowledge of the preinciles of meeting/convention planning and administration.
  • Strong project management experience.
  • Ability to set and meet critical deadlines.
  • Strong skills in written and oral communication.
  • Prior experience supervising staff and managing budgets.
  • Ability to interact with all levels of AHA staff, volunteers and vendors.
  • Proficient with standard office software packages, including basic knowledge of PC-based database applications and web browsers.
  • Must be able to travel overnight approx. 25% of the time.
