The American Heart Association (AHA) has an excellent opportunity for a Project Coordinator at our office located in Dallas, TX.

In this role, you will be responsible for assisting Production Solutions Account Managers on projects under the supervision of the Production Solutoins Sr. Manager. Monitor timelines from Production Status Report, responding to project inquiries from internal parties; and providing office support including data entry for all new and updated products in various systems, PeopleSoft (E1), P3 (Procurement system) and SharePoint.

Areas of Responsibility: 
  • Assist with coordinating the purchase of print material throughout the production process on behalf of the Production Solutions Account Managers.
  • Assist Account Managers in setting up projects in P3 (in-house procurement system) providing schedules, specifications, shipping data, cost estimates, and other details as required
  • Assist with weekly inventory analysis by reviewing data and making recommendations on re-orders, to ensure inventory levels are maintained thereby keeping back orders to a minimum
  • Place reorders on behalf of Account Managers and monitor production timeline
  • Provide all relevant documentation to ensure the timely delivery of printed material
  • Assist in the monitoring of projects including check points in E1 for inventory to help identify and resolve any discrepancies to ensure bi-monthly upload of files from distribution to finance is completed in an accurate and timely manner.
  • Assist with the preparation of product announcements, pricing and catalog information for new/revised products. (IMI’s)
  • Assist with and coordinate the disposition of inventory once approved.
  • Generate/review weekly production status and back order reports, review monitor and resolve any issues.
  • Attend production and staff meetings, as required.
  • Provide other levels of support to all department staff on an as needed and as required basis.
  • Responds to product inquiries and requests from affiliate, division and national center staff/volunteers.
Educational Background: 
Associates Degree from an accredited university
Skills/Experience: 
  • Minimum one to three years of experience working in a similar position
  • Knowledge and proficiency in using Microsoft applications:
  • Word – for Production Report, Estimates, Statements, Memos, etc., as well as proofing, inputting and importing (copying) copy/text
  • Excel – for navigating through spreadsheets, i.e. production schedules (timelines), billing sheets
  • Outlook – for company calendar and e-mails
  • Previous production, printing work in advertising, marketing, graphic design or related field;or any equivalent combination of training and experience.
